This position is responsible for facilitating the settlement and title transfer process.

This position directs the flow of documentation from the office to the agents, lawyers/notaries and other real estate companies involved in the contract.

It requires maximum attention to detail and high organizational skills.


Primary Job Responsibilities:

Ø Confirms that all required documentation has been completed, submitted, and accurately enters all contract data into database.

Ø Prepare offers, counter offers, Leases and other commercial real estate forms.


Ø Verifies and enters Trust deposit details in database and ensures that funds have been deposited into our Trust account on time & correctly.

Ø Writes cheques when needed and distributes to partners for signing.

Ø Monitors Trust account for wire transfers and NSF cheques and determines if transfer fees apply.

Ø Communicates with agents regarding missing or deficient items and forward the list of closing contracts and respective registrations.

Ø Distributes keys to new agents and assist with the training of new agents.

Ø Oversees ICR's accounts including ISC, City of Regina, etc.

Ø Invoices outside brokerages for any overages to be sent to Landlords.

Ø Responsible for the sale documentation delivery to lawyers and Trust funds.

Ø Verifies FINTRAC has been completed for each sale prior to an agent receiving payment.

Ø Bank reconciliations for the Trust account.

Ø Creates Trust liability listings monthly.

Ø Facilitates the registration and termination of agents.

Ø Prepares IC Contracts for new agents.

Ø Assists with the renewal of Prof Corps if necessary.

Ø Tracks agent's completion of CPD, and renewing registrations on a yearly basis.

Ø Provides weekly receivables and deal stats to managing partner.

Ø Assists with the preparation of the Annual Report to the Commission.

Ø Gathers and prepares all required information necessary for the audit process.

Ø Sign requisitions.

Ø Create Social Media posts.


Key Competencies:

Ø Superb communication skills, both written and verbal.

Ø Leadership mentality coupled with ownership and accountability.


Ø Possess a strong understanding of commercial real estate including a broad sense of finance, leasing, legal, and marketing, construction, and the tenant relations requirements of managing a retail property.

Ø Proficiency with MS Office and other computer databases.

Ø Highly organized with superior attention to detail.

Ø The ability to prioritize and multitask.

Ø The capacity to remain calm and composed when under stress or pressure.

Ø Adaptable, dependable, and shows initiative.

Ø Knowledge of Yardi Voyager, InDesign & Photoshop would be an asset.


Job Types:
Full-time, Permanent


Pay:
$47,000.00-$52,000.00 per year
