    Reporting to the Associate Registrar, the Student Records Assessor and Petitions/Exam Coordinator provides exceptional service to support of the mission the Office of the Registrar in the Faculty of Applied Science and Engineering. Acting as the Exam Coordinator for Instructors, students, and staff, the individual responds to all exam inquiries, coordinates all religious and exam conflicts accommodations, coordinates exam schedules and details changes, coordinates deferred exams, and assists Accommodated Testing Services in providing accurate and efficient exam services. Acting as the Petition Coordinator, the individual updates student records, requests term-work reports, and assesses student records to ensure accuracy and consistency in accordance with Faculty rules and regulations, contributing to creating a supportive and responsive environment for student success.

    Your responsibilities will include:

  • Providing detailed information and responding to inquiries from instructors and staff on exam processes, policies, and procedures.
  • Coordinating all exam timetables and detail changes.
  • Coordinating exam supports and services such as the scheduling of exam invigilators and the delivery, collection and storage of exams.
  • Booking rooms and arranging appropriate accommodations to support exam conflicts and religious observances.
  • Creating and updating student records such as registrations and enrolment details, international fees exemptions, and to support petition decisions.
  • Serving as a resources to the student advisors with assessing student records.
  • Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum two years of recent and related front-line customer service experience.
  • Experience applying and interpreting student and academic program related policies and procedures and/or experience providing information on admission and related processes.
  • Demonstrated experience providing administrative support in a publicly funded post-secondary education environment.
  • Demonstrated experience working with ROSI or similar student information database system.
  • Experience in Degree Auditing System such as Degree Explorer or a similar system.
  • Experience using Microsoft Office Suite (such as Word, Excel, PowerPoint, Access, Teams, etc.), including the ability to write queries of basic to moderate complexity in MS Access.
  • Knowledge of FIPPA and its application to admissions and registrarial processes.
  • Demonstrated commitment to quality customer and student services.
  • Ability to prioritize competing demands and work well under pressure and meet deadlines.
  • Strong communication and interpersonal skills and ability to work well independently and as part of a team.
  • Excellent problem solving and time management skills with demonstrated ability to take initiative.
  • Ability to exercise tact, good judgement, and discretion, especially when handling confidential information.
  • Adaptability and flexibility to learn new tools and applications.
  • Superior attention to detail and accuracy with strong data entry skills.

    Pay Scale Group & Hiring Zone:
    USW Pay Band 09 -- $65,407 with an annual step progression to a maximum of $83,646. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
