    The Canadian Centre for Professional Legal Education (CPLED) is a non–profit organization that offers the Bar Admission Program in Alberta, Manitoba, Saskatchewan, and Nova Scotia, as well as other pre-call legal education. Students must article and complete CPLED's Bar Admission Program, the Practice Readiness Education Program (PREP), to be called to the Bar.

    CPLED is dedicated to helping students hone their practical skills and assesses how well they are able to apply their legal knowledge and skills in everyday situations. This helps ensure new lawyers are well-equipped to meet the demands of the workplace. CPLED maintains a high standard of programs and services for students to ensure a strong transition into the legal profession.

    The Administrative Support, Content is a key member of the Content team and works closely with the Content team to deliver a wide range of materials, initiatives and processes.

    Success in this position requires excellent attention to detail combined with strong communication, word processing, teamwork, interpersonal, organizational, and time management skills.

    Key Accountabilities

  • Perform general office duties, including word processing, electronic filing using a SharePoint system, document management, schedule management and preparation of written documents.
  • Prepare, distribute, track, and follow up on internal and external correspondence.
  • Assist in the development and maintenance of monthly schedules for the Content team, including external contractors.
  • Monitor department inboxes and triage inquiries forwarded to the Content team as necessary or respond to requests for information.
  • Support the maintenance and updates to courses and other learning resources.
  • Act as the system administrator, superuser, and data steward on all department systems and SharePoint sites, as assigned.
  • Working with the Manager, Content, facilitate and monitor feedback surveys, preparing periodic reports.
  • Act with expertise for efficiencies with the Microsoft Suite (Word, Excel, PowerPoint) and Adobe.
  • Maintain templates.
  • Produce agendas and minutes for meetings.
  • Conduct reviews and editing of course materials and resources.
  • Assist with special projects and program implementation.
  • Collaborate with and provide administrative assistance to the Programs department and other areas of the organization on an as-needed basis.
  • Understand the impact of decisions.
  • Demonstrate initiative by undertaking tasks to assist the members of the Content team based on project deadlines and requirements.
  • Participate in continuous improvement initiatives, including identifying potential process improvements to administrative tasks.
  • Remain interested in and capable of growing to meet changes and additional challenges that may be added to this position over time.

  • Qualifications

  • 2+ years of relevant experience working in an administrative or logistics and support capacity.
  • Post-secondary education, such as an Administrative Assistant diploma/certificate or a diploma/certificate as a Legal Assistant, is considered an asset.
  • Strong communication (written and verbal), customer service, time management, organizational, listening, and telephone skills.
  • Strong attention to detail is a must.
  • Technically strong computer skills, such as Microsoft Office (Word, Outlook, Excel, SharePoint).
  • Familiarity and skills in D2L and customer relationship management systems are considered an asset.
  • Collaboration skills, with an ability to work with all individuals and groups.
  • Self-starter, able to work independently with minimal supervision and to take on projects as required.
  • Ability to multi-task in a fast-paced environment and meet deadlines under pressure.

    Current Hybrid Work

    Our current Hybrid work model requires staff to have in-person time in the office and work remotely on other days. Attendance in the office is mandatory on Wednesdays and Thursdays for all staff unless it is an exemption day due to live student sessions or indicated by your Manager. Mondays, Tuesdays and Fridays remain flexible, allowing you to work remotely. However, you are also welcome to work three, four or five days in the office. We believe this hybrid model will provide staff with the best of both worlds and allow us to maintain strong connections, collaboration, and productivity.
