Facility Services is looking for a Warehouse Manager to join their team


The Manager, Warehouse Services is an integral member of the department management team with a primary focus of providing and leading the centralized Warehouse Distribution Centre.

The incumbent manages and co-ordinates the duties of staff for the purpose of service delivery.

The job also manages and co-ordinates the Division loaner pool scheduling, including delivery, pickup, and redistribution of items across all Division sites.


The job is responsible for the delivery of services to maintain a continuous supply of goods and services ensuring availability, easy accessibility and consistently of the best quality to enhance the educational environment and process.


The job works in collaboration with the Manager, Procurement Services and the Manager, Financial Systems to ensure Division and department goals and objectives are met.

The incumbent directly supervises the Supervisor, Warehouse Services and manages a team of eight staff members.


JOB RESPONSIBILITIES
Leadership and supervision

  • Manage and direct the team to ensure services are delivered consistently throughout the Division
  • Coach, train and mentor staff
  • Assign, delegate and evaluate work
  • Participate in the disciplinary process
  • Lead the recruitment and selection process
Management activities

  • Ensure schools and sites receive service that is being offered within the stated cost recovery objectives
  • Review cost recovery initiatives for possible implementation and/or improvement
  • Assist Procurement Services with the tender process for inventory items
  • Review vendor service and inventory availability
  • Direct Procurement Services to seek other vendors for product availability, quality, and pricing.
  • Direct shipment concerns (wrong products/pricing/quantity, late shipment) to Procurement Services for resolution
  • Manage unit's yearend processes to ensure compliance with Financial Services' policies and procedures
  • Ensure purchase orders are appropriately opened and closed.
  • Schedule, coordinate, and perform physical inventory count and enter subsequent inventory adjustments as required.
  • Manage unit's budget including forecasting, monitoring and revising expenditures
  • Participate as part of the department's management team
  • Contribute to long
- and short-term strategic and operational planning

Communication and consultation

  • Consult with Division staff to determine needs, develop longterm strategies and to ensure appropriate levels of service
  • Develop, implement, update and communicate internal inventory services procedures
  • Collaborate with Procurement Services on acquisition and storage of materials, supplies, equipment and furniture
  • Collaborate with other departments to ensure effective and timely coordination of services
  • Work with other school jurisdictions to develop alternative purchasing possibilities
  • Provide guidance, expertise and respond to question on the Inventory Shopping Cart system
Inventory management

  • Review and assess inventory items and levels
  • Conduct weekly recording and checks
  • Followup with internal and external customers
  • Control the inventory value and quality of products offered
  • Manage regular inventory check processes
  • Ensure adequate onhand levels to meet forecasted demands
  • Coordinate annual physical inventory count with Financial Services
Fleet and equipment management

  • Ensure the maintenance and servicing of a fleet of five vehicles to ensure services are provided to sites
  • Ensure Commercial Vehicle Inspection (CVI) is compliant with truck fleet as per the Alberta Traffic Act
  • Ensure all vehicles and equipment have preinspections completed as required by the Division and in compliance with Occupational Health and Safety (OHS) legislation
  • Ensure maintenance and servicing of material handling equipment
  • Coordinate annual Preventative Maintenance service
Professional Development

  • Maintain technical knowledge through a range of activities
  • Maintain current forklift, safety, and/or other required certifications for warehouse staff
  • Coordinate training for warehouse staff
