The Opportunity:
Located in the heart of the financial district at 999, boulevard De Maisonneuve W.

in downtown Montreal, this position will be a part of the Property Management team supporting the building and will report to the Assistant Property Manager.

We are looking for someone who will bring a strong sense of commitment and dedication in providing administrative and marketing support to our clients and members of the team.

What You Will Do:


Tenant Services

  • Assist in maintaining the building's branding in all respects, i.e. signage, posters and communications.
  • Order eventrelated promotional materials from tenants.
  • Ensure excellent tenant relations through personal contact and outstanding customer service.
  • Respond promptly to various inquiries or complaints with a professional tone in accordance with BGO customer relationship management policies and redirect to the appropriate point of contact.
  • Coordinate new tenant or renewal welcome event.
  • Help coordinate tenant events in building.
  • Ensure tenant electronic directory is maintained up to date.
  • Update elevator "Pattison" messaging.
  • Coordinate directory signage modification requests.
  • Answer tenant requests regarding access cards, work orders & special service requests.
  • Track and follow up on Angus service calls.
  • Security system: produce & track security access cards and produce access reports as requested by tenants.
  • Manage tenant parking requests.
  • Tenant, common area and bathroom periodic cleaning inspections.
  • Produce minor service quotes for tenants (cleaning, signage & other).
  • Supervise and assist security personnel.
  • Supervise the Gym operation and assist tenants. (Access, equipment repair, cleaning & other).
  • Help tenants with deliveries & moves (coordinate elevator reservations, loading facility etc).
  • Help tenants with bike locker reservations.

Conference Center

  • Supervision of maintenance employee servicing the conference center.
  • Take reservations and all tenant requests related to the conference center.
  • Daily followup with tenants for necessary setups and requirements for all meetings.
  • Issue work orders for conference center reservations.
  • Prepare documentation for invoicing.

Administrative and Office Functions

  • Interact, communicate, and correspond professionally and effectively with all stakeholders, whether they are tenants, suppliers, professionals, visitors, or maintenance staff.
  • Prepare tenant billings for billable service calls
  • Process accounts payable
  • Facility management: ensure reception area, vacant spaces & meeting rooms are orderly. Interact with printer, photocopy and WIFI service providers as necessary.
  • Keep tenant and employee lists and contact information.
  • Assist operations and administrative team.

Who You Are:


  • 5+ years' experience in coordinating customer services and administrative functions
  • Postsecondary education

Superior oral and written communication skills; an ability to develop and sustain cooperative working relationships at all levels; ability to exercise confidentiality; displays enthusiasm and has a desire to learn; team player.

Strong organizational/multi-tasking skills - ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities and adapt to new ideas and constant changes.

Computer Skills
  • Strong knowledge of Microsoft Office; particularly Outlook, Word and Excel.

Bilingual

  • Excellent command of French and English because of frequent communication with tenants and colleagues in other Canadian offices (spoken and written)
