The role of the Key Account Project Coordinator is to plan, execute, and finalize projects according to strict deadlines and within budget for large Key Account Customers.

This is strictly a back-office position.

The position includes acquiring resources and coordinating the efforts of team members and third-party contractors/service providers in order to deliver projects (both service and new installations) according to plan.


Responsibilities:


  • Direct and manage new installation project development from beginning to end.
  • Define project scope, goals and deliverables that support business goals in collaboration with key account business manager and senior management if required.
  • Effectively communicate project expectations to district office team members and/or thirdparty contractors/service providers in a timely and clear fashion.
  • Liaise with key account business manager on an ongoing basis.
  • Estimate the resources and participants needed to achieve project goals.
  • Set and continually manage project expectations with team members.
  • Delegate tasks and responsibilities to appropriate personnel.
  • Identify and resolve issues and conflicts within the project team.
  • Plan and schedule project timelines.
  • Track project milestones and deliverables.
  • Review status reports from the project team, analyze results, and troubleshoot problem areas.
  • Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
  • Define project success criteria and disseminate them to involved parties throughout project life cycle.
  • Build, develop, and grow any business relationships vital to the success of the project or future projects.
  • Conduct project postmortems and create a recommendations report to identify successful and unsuccessful project elements.
  • Develop best practices and tools for project execution and management.
  • Ability to regularly review KA plans and technical specs.
  • Interface with Architectural teams, as required.
  • Prompt and Efficient Quotation Entry in various software platforms
  • Prompt submission of quotes to requesting parties
  • Prompt and Efficient translations of quotes to order format
  • Successfully close out project on all levels.


  • Create Reports

  • Quote tracker, capital budget (Capex) report and project install progress report.

Estimation:


  • Creating quotes for tenders, replacements and other required quotes.
  • Investigate every time a request from end user to replace the door, request pricing from subcontractor if it is a remote area, verify measurements, verify site conditions, follow ups, schedule install and confirm dates with end users.


  • Tender Bids

  • Review engineering drawings and floor plan, creating RFI, confirming details and more.
  • Communicate with various external stakeholders (Technician, Subcontractor, Store Manager, Regional Manager and General Contractor) for more information, discuss over the details, confirming details, discussing plans, recommendation, addressing issues, provide updates and more.
  • Review older quotes and update the pricing if necessary but do not do sales.

Project Management:


  • Oversee KAC (Key Account Customer) installation progression across Canada along with local district offices.
  • Point of Contact for end users in scheduling installs for all of Canada, communicating with others according to plan, confirming dates and addressing issue directly with the end users on all the installs.
  • Addressing unknown variables with the End Users such as service, invoice and other site conditions and keeping customer informed of changes.
  • Internal
  • Booking tasks, processing orders, shop drawings, following up on factory orders, create change order, biweekly meeting with the team on the install, addressing install issues.
  • Collaborating with Subcontractors and glazing contractors in remote areas for discussing plans, verifying measurements and site condition, scheduling install, and tracking the shipment.


  • Create Reports

  • Quote tracker, capital budget (Capex) report and project install progress report.
  • Work with Key Accounts Business Development Manager on creating and following up on quotes.
  • Supervise other vendors with regards to our scope for projects startup and closing.

Additional Tasks:


  • Ordering Automatic Doors according to technical specification with factory, glass, aluminum profiles/ door hardware (as required).
  • Generating SO (Sales Order) report to identify doors rated 0,1 for replacement.
