Job Description Summary


UBC Facilities provides comprehensive facilities maintenance, operations and renovation services for lands and buildings owned by the University of British Columbia.

The Custodial Services unit provides cleaning and waste removal services and locking and unlocking of exterior doors, as well as providing support for University functions and events including final exams and Congregation ceremonies.

The Custodial Services team operates 24/7 with staff working days, afternoons, nights and weekend shifts.


The Custodial Scheduler is responsible for the training and orientation of all new custodial employees and for producing accurate work schedules for all Building Service Workers in the unit.

The Scheduler plans, organizes, evaluates and provides classroom and hands-on training and follows up with an evaluation of the new hires and existing employees proficiency in the learned tasks.

The Scheduler is also responsible for producing detailed work schedules based on the universities chosen approach to workloading and in line with the agreed upon APPA (or other) cleaning body standards.

This position works rotating shifts including days, evenings, nights and weekends as required.

It is typical to be assigned to one home shift but the Scheduler will be required to work other shifts as needed from time to time.

Organizational Status


The Custodial Scheduler reports to the Director, Custodial Services and liaises on a regular basis with Facilities Manager, Operations Manager, Assistant upervisors, Head Service Workers, Building Service Workers as well as Staff, Students and Faculty members at the University.

Work Performed


Training:


Responsible for training all new M&P and Custodial Services staff on custodial processes and procedures; cleaning and floor maintenance chemicals and equipment.

The Custodial Services unit involves a 24/7 operation.

If additional training or work performance concerns are raised, the Scheduler is responsible for working with the affected employee on a one on one, or group basis.

Ensures all staff adhere to relevant safety and administrative policies and procedures

Provides training by proxy by creating content for distribution at weekly crew talks.


Creates content for training of staff in line with the formats for content delivery as chosen by the university which may consist of online delivery, in person delivery, training manual or other.


Scheduling:
Accumulates and collates custodial assigned space inventory of campus facilities; identifies and communicates staffing needs, develops and evaluates custodial work schedules to meet departmental commitments and user requirements consistent with Custodial Department s processes and procedures


Executes quality assurance audits to validate the success, feasibility and training needs required to sustain the standard of cleaning identified for the assignments created to maintain campus spaces.


Reviews work schedules on an ongoing basis to ensure space inventory and assignment is effective and current; when necessary works with staff to improve efficiency and effectiveness.


Summarizes staffing issues including shortfalls and recommends to Director - Custodial Services, Managers, and Head Service workers of appropriate adjustments in staffing.


Reviews current routes, servicing and building content to ensure space inventory and assignments are effective and current in central database.

Reviews and prepares reports for budget preparations, staffing projections and equipment purchases.


Investigates and participates in the review and testing of custodial equipment, chemicals and methodologies and participates in the functional training of Building Service Workers.

Responsible for administrative activities for the Custodial Offices as required, including, but not limited to, s, responding to user requests, and acting as liaison with campus department inquiries, maintaining inventory of uniform equipment as required

Maintains record of material safety data sheets; maintains record of standard operating procedures (SOPs) and safe work procedures (SWPs); collaborates with Operations Managers and the Custodial Services Joint Occupation Health and Safety Committee on requests for updates to SOPS and SWPs in line with trai
