Role Overview

Role Description:

The Accounting Coordinator supports both the transactional operations of both the Payroll and Accounting functions. This position reports to the Accounting Manager and/or the Payroll Supervisor.


Summary of Duties:

Responsibilities of this position include but are not limited to those below:

Primary Responsibilities:

  • Responsible for processing and payment of all accounts payable ensuring that all expenditures are authorized and coded prior to processing for payment.
  • Processes the electronic funds transfer of all expense claims and vendor payments.
  • Reconciles accounts payable subsidiary and general ledger control accounts and prepares the required journal entries.
  • Prepares Accounts Receivable Sales invoices.
  • Supports the Payroll function as required by the Supervisor, Payroll.
  • Assists in the monthend financial statement process and prepares analysis as required on various general ledger accounts, including bank reconciliation, accounts receivable, prepaid and other balance sheet accounts.
  • Prepares and updates accounts payable procedures documentation.
  • Processes credit card payment.
  • Prepares quarterly GST/HST return.
  • Prepares the fixed asset schedule.
  • Prepares bank reconciliation.
  • Manages employee expense accounts and maintains all credit card accounts.
  • Delivers monetary deposits to the bank.
  • Prepares variance analysis information for budget.
  • Ensures all supporting accounts payable documents are filed correctly.
  • Assists the other members of the Finance team with other projects as required.

Other Responsibilities:

  • Observes Cota and Divisional rules and regulations, policies, procedures, practices and current legislation, in particular, the Human Rights Code.
  • Complies with all Health and Safety policies and procedures to ensure every reasonable precaution is taken for the protection of workers and clients and that health and safety concerns or incidents are responded to promptly.
  • Works cooperatively and constructively with other members of the organization and with external stakeholders.
  • Ensures confidentiality of client, employee and Cota information is maintained at all times.
Undertakes other related and/or delegated duties.

  • Completion of a College Diploma in Business/Accounting
  • Minimum of three (3) years of experience in accounts payable preferably in the notforprofit sector.

Other Requirements:


  • The majority of working hours fall within regular business hours. Flexibility is required to ensure reports are generated in accordance with due dates.
