Receptionist/Administrator_

Full Time - Permanent Position


Key Responsibilities:

- _
Reception:_ Incumbent serves visitors by greeting, welcoming, and directing them to the appropriate departments and notifying company personnel of visitor arrival.
- _
Calendar management/bookings:_ Incumbent will handle all bookings. This includes scheduling, cancelling, rescheduling of appointments, Target Inspections, Move-ins, Move-outs, Evictions, etc.
- _
Tenant insurance_**:Incumbent will be responsible for collecting all new insurance policies from new tenants, existing tenants (renewals), and any other miscellaneous documents required for the property.
- _
Target Inspections/Move-Out Inspections/Evictions/Coordination of entry (minus maintenance):_ Incumbent will coordinate and schedule with the tenant/s and owner/s all inspections of this nature. She will also be responsible for rescheduling, cancelling etc.

Event Organization:_ Incumbent will be responsible for all holiday/event coordination related to Rental Advisors. This includes (team gatherings, lunches, Christmas, birthdays, etc.)

Mapline Data Entry_: Incumbent will update Mapline on a regular basis in coordination with the office manager
- _
Logbook Management:_ Incumbent will record and maintain a clear copy of the logbook, by registering all the outgoing checks and etc.
- _
Administrative Support:_ Incumbent will provide administrative support to the rest of the Rental Advisors Team. These include key management, document preparation and tracking, photocopying, data entry, handling client inquiries, scheduling meetings, creating and maintaining databases, filing, etc.

Office Stationery_**: Incumbent will maintain, organize and order the office stationery when needed, she will evaluate the existing stationery every 6 months to make sure inventory is up to date and it includes equipment requirements.

REQUIREMENTS/QUALIFICATIONS:

  • Excellent client service orientation
  • Excellent interpersonal skills, and a professional, friendly and courteous demeanor
  • Excellent communication skills
  • Ability to plan, organize and complete accurately in a timely manner
  • Strong attention to detail and accuracy
  • Ability to work and act independently to resolve issues
  • Able to work in a fastpaced environment, prioritize well, and meet deadlines
  • Excellent computer skills: Proficiency in MS Office Suite
  • Knowledge of Real Estate is an asset, but not necessary.
  • Minimum of two years of related work experience as a receptionist is required.
  • Compensation $19.00 to start
  • Full benefits package available after 3 months
