Executive Officer to the Vice President:

Primary Purpose:

The Executive Officer (EO) to the Vice-President (VP) provides executive-level coordination and support to the office of the VP and within the VP Finance & Resources portfolio.

The role is to support leadership success by providing strategic oversight and leadership of initiatives.


Nature of Work:

Reporting to the VP, the EO is a member of the VP's leadership team with specific responsibilities to the office of the VP.

The EO VP participates in developing strategies, setting priorities, and facilitating decision-making with leadership across the Finance & Resources portfolio.


The EO VP is an adaptable, trusted advisor who assists the VP and VP Finance & Resources leadership team, ensures there is collective action upon a prioritized agenda, tracks decisions and action items, and ensures focus on the most critical issues and opportunities.

The EO VP participates in project management, implementation, and reports on performance of objectives, while overseeing daily operations and developing action plans to address inquiries.

Key to this role will be the ability to listen and communicate effectively.


The EO VP maintains a broad view across the President and Vice-Presidents' portfolios, and Colleges/Units portfolios, and is aware of the activities and projects taking place across the university.

The EO VP plays a key role in strengthening the network of EOs in the Presidents and Vice-Presidents' offices, AVP Eos, and administrative staff within Colleges and Units to support the continued development of a rejuvenated administrative services delivery model.

The EO VP advises of emerging political, environmental, or other matters as appropriate based on an extensive understanding of the university's formal and informal structures and processes.

The EO VP provides a sounding board and practical perspective to support the successful implementation of plans, enhancement of services, and a positive and productive work environment.

Accountabilities

Strategic Enablement and Project Management

  • Collaborates across the Finance & Resources portfolio to ensure that departmental goals and associated services, plans and priorities are aligned with the University's mission, vision, and values, and institutional goals.
  • Coordinates the management and administration of portfoliowide projects, plans, reports and strategic initiatives, leading projects through a framework to ensure success in achieving outcomes within specific timeframes.
  • Analyzes the success of strategic initiatives and recommends review or change when necessary.

Executive Leadership Support

Provides high-level support to the VP by ensuring access to data and information to drive effective decision-making; prepares data, reports, analysis and presentations for the VP and leadership team.

  • Ensures effective meeting planning, coordination, and execution.
  • Oversees and coordinates activities which involve input from multiple leaders or cannot be functionally delegated to an individual leader.
  • Assists with financial oversight in team decision making.
  • Ensures the strategic management of the VP's time using an intimate understanding of the priorities, goals, and timelines.
  • Works with the Administrative network team within the unit and across the portfolio to ensure professional, effective and efficient coordination and support of the VP's office and leadership team.

Relationship Management

Establishes and maintains productive working relationships with key stakeholders within the Finance & Resources portfolio and externally.

  • Proactively liaises with EOs across the institution to determine priorities and develop integrated solutions, minimizing duplication of effort and expense.
  • Acts as a problemsolving resource to others within and outside the VP's office to address matters on behalf of the VP and the leadership team as appropriate.
  • Conducts discussions in a respectful manner, that are sincere and fully expressed.

Communication and Issues Management

Develops communications and correspondence, ensuring the appropriate tone is projected. Ensures that portfolio materials prepared for governing bodies are timely and prepared with the highest degree of quality and clarity.

  • Liaises with internal communications staff to ensure effective, efficient, and timely communication channels.
