This position is for CBT Associates, one of CloudMD's subsidiaries.

CBT Associates is a large, well-established, and rapidly growing network of clinics that provides evidence-based psychological services to children, adolescents, adults and couples.

Our psychologists and psychological associates have expertise in CBT, DBT, ACT and MBCT treatment approaches for a wide range of populations and problems


Who You'll Work With


Reporting to our Operations Manager (or delegate), this is an exciting opportunity to join CBT Associates as an Administrative Assistant.


What You'll Be Doing

  • Manage the smooth daily operations of CBT Associates, supporting the Operations Manager, Clinical Directors, and Associates, and acting as the key point of contact for both internal and external clients
  • Manage client scheduling and administer the shared office calendar
  • Maintain accurate and uptodate contact lists, tracking of business cards, and key external contact information
  • Alert Associates to outstanding invoices, track and followup on outstanding payments, and perform reconciliations to ensure accurate invoicing, collection, and payments
  • Distribute office keys and pass cards, and administer new Associates' orientation; continually ensuring all Associates follow relevant company policies and procedures, consulting with Clinical Directors as needed
  • Manage resource library and maintain reliable office infrastructure including computers, access to the shared drive, office supplies, and shared materials and resources
  • Coordinate office cleaning and liaise with landlord(s) as necessary
  • Maintain strict levels of confidentiality at all times
  • Contribute to a supportive and teamoriented working environment
  • Other duties as assigned

Who You Are

  • College diploma, University degree, or related experience
  • Proven experience in an administrative capacity, with knowledge of office management systems and procedures
  • Superior communication skills (both written and verbal), paired with strong interpersonal and teambuilding skills
  • Strong level of computer proficiency including MS Office (Outlook, Word, and Excel), and comfortable navigating new systems
  • Client focused with the ability to proactively listen and provide thoughtful responses to inquiries and concerns, providing complete information and/or offering appropriate problem resolution
  • Strong organizational and project management skills with exceptional attention to detail
  • Selfstarter; able to work independently but seek guidance as necessary
  • Comfortable working in a dynamic and everchanging work environment, with a cando and handson approach to work
  • Growth mindset, with a keen interest in learning and development
  • Interest or previous experience working in the mental health field
  • Previous work experience or familiarity with Penelope computer software
  • Previous experience working independently, successfully managing time and tasks
  • A positive, energetic, and welcoming approach to work, coupled with a strong customer service mindset
  • The desire and vision to get in on the ground floor of a highimpact and growing organization

Schedule

  • Clinic hours of operation are: Monday to Friday 9:00am 9pm and Saturday 9:00am to 5:00pm
