Part-time Administrative Assistant - Hamilton, Canada - RD Psychotherapy
Description
In order to be considered eligible for an interview, applicants must have completed at least a college diploma, certificate or other similar training.
A variety of degrees, diplomas, etc. would be considered along with training and experience. A criminal background check will be mandatory.As a staff member, an Administrative Assistant must maintain an understanding and observance of Practice policies and procedures. Generally, their responsibility will be to act as a representative of the Practice.
The Consultant must have a firm understanding of the Practice and an ability to communicate with staff and clients in-person or remotely.
During employment, an Administrative Assistant will be expected to adhere to:(1.0) Practice policies; (2.0) specific administrative responsibilities.
1.0
PRACTICE POLICIES
- Report to the Executive Directors
- Adhere to proper protocols and procedures according to standards of the Practice
- Abide by all safety precautions and report of any happenings immediately
- Adhere to standards of dress and deportment
- Adhere to standards of promptness, including arrival to work ontime
- Computer software proficiency
- Ability to collaborate with support staff and diverse treatment team
- Demonstrate a potential for professional growth

ADMINISTRATION:
- Answering telephone calls
- Routine telephone calls as necessary
- Referring inquiries as necessary
- Proper phone etiquette
- Manage logins for telephone calls
- Schedule appointments
- Schedule other events
- Creating client accounts
- Updating client personal and financial information
- Perform practice billing and invoicing
- Expediting claims
- Maintain and update practice financial information
- Basic familiarity with medical terminology
- Sensitivity to confidential matters
- Service in other administrative duties as required
- Greet visitors
- Manage intake
- Managing reception area
- Respond to emergencies to best of abilities
- Maintain practice inventory and equipment
- Assessing inventory will include:
- Anticipate needed supplies
- Placing and expediting orders
- Verifying receipt of supplies
- Scheduling equipment services and repairs
2.1 COLLABORATION
- Collaborate with staff
- Collaborate with referral sources
- Attend operation meetings weekly
- Participate in additional training as required by the Practice
- Ensures all services are delivered in cultural sensitivity manner
2.2 SKILLS AND TRAINING
- Postsecondary education preferred, but not required
- Ability to register as an independent consultant
2.3 SCHEDULE
- Parttime: Monday, Tuesday, and Friday 8:30 a.m. to 5 p.m.
- Availability the first Saturday of every month from 10 a.m. to 2 p.m. with possibility of second Saturday preferred, but not required
