Summary of Duties:

This role is responsible for updating and maintaining the Human Resources Information System (HRIS).

The role will report to the Project Manager, HR Digital and work in conjunction with HR staff, hospital management, Payroll, and a Database Administrator (DBA) in IT.


Key Responsibilities:


HRIS Management:

Support the administration, configuration, and maintenance of the system and support the maintenance of accurate and up-to-date employee data, system integrity, and data security.

Support processes for mass employee changes.

Data Cleansing and Quality Assurance:
Execute data cleansing scripts and processes to ensure data accuracy, consistency, and completeness within the HRIS. Implement data quality assurance measures and perform regular audits to identify and rectify data discrepancies. Familiarization with documentation from previous projects that detail how to maintain solutions.

System Enhancement and Optimization:

Identify opportunities to enhance and streamline HRIS processes and functionality, collaborating with IT and HR teams to implement system upgrades, updates, and customizations.

Utilize MS Access capabilities to develop and optimize databases and queries for improved data analysis and reporting.

Stakeholder Coordination:
Collaborate with IT and other departments to integrate HRIS with other systems. Support HRIS-related projects, including system upgrades, implementations, and migrations. Support coordination activities to ensure successful project execution.

Embed and maintain the job architecture catalogue within the HRIS, ensuring accurate and up-to-date job descriptions, job levels, and compensation structures.


Reporting and Analytics:
Generate regular and ad-hoc reports and metrics related to employee data through MS Access and other reporting tools.

User Support and Training:
Provide support and training to HR staff and end-users on HRIS functionalities.


Qualifications, Requirements and Assets:


  • 2 years' experience administering HRIS, preferably in a healthcare or hospital setting
  • Completion of a postsecondary degree in human resources, business, computer science, or equivalent
  • Proficient in MS Access for database development, data manipulation, and reporting
  • Proficient in MS Office Suite (mainly Excel), experience with HRIS reporting tools
  • Experience in HCM implementations an asset
  • Indepth knowledge of HRIS platforms, hospital specific experience an asset
  • Strong analytical and problemsolving skills with attention to detail
  • Familiarity with HR processes, data privacy, and compliance
  • Strong interpersonal and communication skills to interact with diverse stakeholders
  • Ability to prioritize and manage multiple tasks across internal projects and with suppliers
