Executive Assistant
PulseMedica is searching for an
Executive Assistant to join our world-class team.

The Executive Assistant will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Team (CEO, COO and CTO).

The Executive Assistant will also serve as a liaison to the board of directors and senior management teams, organize and coordinate executive outreach and external relations efforts, and oversee special projects.

Our focus is now on developing a real-time eye imaging and high precision laser surgery platform, and we're looking for exceptional individuals to join us and be part of making our vision a reality.


The Opportunity

The person will be responsible for:

  • Completing a broad variety of administrative tasks for the CEO, CTO and COO including: managing multiple active calendars of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Planning, coordinating and ensuring that the Executive Team's schedule is followed and respected. Providing a "gatekeeper" and "gateway" role, creating winwin situations for direct access to the Executive Team's time and office.
  • Communicating directly, and on behalf of the Executive Team, with Board members, and others, on matters related to Executive Team's programmatic initiatives.
  • Researching, prioritizing, and following up on incoming issues and concerns, including those of a sensitive or confidential nature. Determining appropriate course of action, referral, or response.
  • Providing a bridge for smooth communication between the Executive Team and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Working closely and effectively with the Executive Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acting as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive Team updated.
  • Managing a variety of special projects for the Executive Team, some of which may have organizational impact.
  • Successfully completing critical aspects of deliverables with a handson approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive Team's ability to effectively lead the company.
  • Prioritizing conflicting needs; handling matters expeditiously, proactively, and followingthrough on projects to successful completion, often with deadline pressures.

Qualifications

  • 5+ years of experience supporting C-Level Executives, preferably in a startup environment.

  • Highly resourceful teamplayer, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficiency with Microsoft Office Suite, Google G-Suite and other related software.

Duration:
Full time Permanent (40 hours per week).


Salary:
Commensurate to experience and qualifications.
