The Role
We are seeking a part-time, in-person Care and Connection Specialist to join our team at BODYMIND Collective. This role is 10-15 hours per week, Wednesday to Friday, with shifts typically running from either 10am-2pm or 2pm-6pm. There may be opportunities to pick up additional shifts to provide coverage during vacation or sick time.
As the primary presence at the front desk and behind the phone line, you will help hold the emotional tone of the clinic. You are often the first point of contact for clients - on the phone, over email, and when they walk through our doors. Your warmth, steadiness, and attention to detail help create a sense of safety from the very first interaction. We are looking for someone who takes initiative, notices what needs attention, and contributes to stewarding the clinic as a welcoming and well-functioning space.

Key Responsibilities
As a Care and Connection Specialist, you are the primary in-person presence at the clinic and play an important role in stewarding the space - both emotionally and operationally.
Your responsibilities include:
- Welcoming clients and maintaining a calm, grounded front desk presence
- Conducting intake calls to understand client needs and support therapist-client matching
- Managing scheduling and client records through Jane
- Processing payments, issuing receipts, and following up on outstanding balances
- Supporting therapist onboarding and administrative tasks
- Maintaining the clinic environment (tidying, light cleaning, restocking, watering plants)
- Managing the clinic's social media presence and engaging with the community online
- Supporting occasional workshops, events, and community outreach/networking

You are organized, detail-oriented, and naturally attentive to both people and the environment around you. You bring warmth, calm, and professionalism to every interaction, and take pride in stewarding a space where clients feel safe and supported from the moment they walk in.
You thrive in a role that combines administrative tasks with relational care. You are comfortable multitasking, working independently, and taking initiative to solve problems as they arise. You are proactive in noticing what needs attention and able to communicate clearly, both in writing and in person.
You are committed to maintaining a culturally safe, respectful, and inclusive work environment. Knowledge of the community mental health sector and service offerings in Hamilton is considered an asset.
Qualifications:
- Prior experience in an administrative or client-facing roleStrong written and verbal communication skillsUniversity/college degree or equivalent professional experience
- Comfortable with technology, including scheduling software (Jane) and social media platforms
