Reporting to the Director, Experiential Learning within the Office of Research Services, Innovation and Entrepreneurship (ORSIE), this position provides extensive project management, coordination, and reporting for experiential learning projects, in a fast-paced, highly technical, and challenging environment.

A position with considerable complexity, the Project Coordinator, Experiential Learning exercises sound judgement and planning principles to coordinate Experiential Learning projects in development and in progress.

The incumbent will support the hiring and onboarding process for part-time employees and research interns associated with ORSIE Experiential Learning projects, coordinates the effective operations of all ongoing Experiential Learning projects in accordance with funder requirements, and utilizes Records and Information Management (RIM) strategies and tools to create and administer a variety of project records and reports.

Additionally, the incumbent provides promotion, event planning, and communications support to the Experiential Learning team.


Key Duties:


  • Involvement in project scoping activities, including consultation with project stakeholders, proposal development and literature reviews in potential areas of project development.
  • Organizing project kickoff meetings, ensuring that all project team members understand their roles and how the team is expected to function by holding regular progress meetings to review project status, timelines, budgets, and challenges.
  • Onboarding parttime employees and research interns in accordance with college procedures and funder requirements.
  • Providing guidance and support to teams on a daily basis to implement sound, ethical, and rigorous experiential learning project plans.
  • Project funding administration, including coordinating purchases, tracking receipts and inkind contributions, issuing honoraria and stipends, and preparing budget reports.
  • Consulting with ORSIE Finance Coordinator and Director, EL to review project budgets in accordance with policies and procedures established by Durham College and the relevant funding body.
  • Monitoring progress against established milestones utilizing sound project management principles.
  • Preparing regular reporting required by funders, including collection and tracking of student and partner data in compliance with funder agreements and Durham College policies.
  • Managing and resolving conflicts and challenges in a timely, professional and expedient manner in consultation with the Director, EL for unusual or complex matters.
  • Ensuring project teams are in compliance with other Durham College policies and procedures.
  • Conducting project closeout meetings to ensure a satisfactory conclusion for every project, addressing issues pertaining to intellectual property, ownership of prototypes and the like.
  • Maintaining communications and high service standards with project stakeholders and funders.
  • Recommending followon projects to support business and industry partners or community organizations.
  • Preparing or coordinating promotional activities such as website content management, media releases, social media campaigns, testimonials, and the coordination of these activities with Experiential Learning employer partners and/or funders.
  • Event planning and coordination, including administration and backend support for online events, as well as inperson events.
