Position purpose:


Under the direction of the Senior Manager, Business Operations, this position is responsible for providing a full range of project management related to the Office of the DFM at the Faculty of Medicine.


This position is responsible for the planning, organization, direction and control of all activities related to these projects as well as the orientation of the staff assigned to them.

The incumbent is responsible for ensuring that the desired results are achieved on time and on budget and that leadership and stakeholders are kept informed of the progress of projects.


In this role, your responsibilities will include:

Project Management:
Develop and support all phases of the project lifecycle. Prepare a project charter, project plan and budget for each assignment. Develop a detailed work breakdown structures and work calendar with timelines and milestones for each project.

Monitor, analyze and communicate project status on a regular basis with the project team, project sponsor, or other stakeholders as required.

Coordinate project meetings and associated logistics (agenda, minutes, documentation). Maintain project documentation according to project management methodology and sponsor requirements.


Budget:
Develop and monitor individual project's budget, including comparison of actual vs. budget and projected expenditures.

Execute projects within budget and ensure that a cost containment process is in place from the outset of the project.

Compare project expenditures to budget using earned value management to assess feasibility of completing projects on time and on budget.

Monitor and control project activities against the project plan during all project phases using effective change control practices. Sets up processes for reminders and escalation processes where deadlines may be missed.


Quality Assurance & Risk Mitigation:
Establish and monitor quality planning, quality assurance and quality control processes.

Identify, analyze and quantify the risks associated with the project and develop risk reduction measures, develop a contingency plan following the identification of a significant risk, follow up on the necessary follow-ups, document the measures taken and results.


Communication:
Establish and implement the communication plan related to the projects. Manage stakeholder engagement and relations, including problem resolution, negotiating and resolving conflicts.

Interface and manage relationship-building efforts with internal and external stakeholders in support of the projects and portfolio, such as expert panels, committees, and team meetings.

Demonstrate a positive attitude and an adaptable and collaborative style; take actions that respect others' needs and contributions and work effectively in teams to accomplish organizational goals; embrace change and be open and flexible to new ideas and approaches.


Reporting:
Provide various project related reports on a scheduled an ad-hoc basis to faculty leadership.
