This is a Bilingual Position.

Fluency in both French and English is Mandatory
***: Reporting to the Manager of Corporate Services, the position is responsible for providing reception and some light administrative support to WOCRC programs.


PRINCIPAL RESPONSIBILITIES AND DUTIES

Ensure clients of the Centre feel welcome and facilitate smooth access to programs and services:

  • Carrying out all building/reception opening and closing procedures;
  • Greeting visitors, determining their need and directing them accordingly; issuing visitor passes when required;
  • Responding, when appropriate, to questions about the organization and its various programs or services;
  • Booking meeting rooms for staff or external partners;
  • Taking client payments and monetary donations; redirecting giftsinkind;
  • Providing basic support to clients using the public computers, when required;
  • Maintaining a clean, safe, fully stocked and wellorganized reception area, including the waiting and child play areas, the public computer area and the mail room;
  • Assisting with small administrative projects, as required (i.e. photocopying and faxing, laminating, labels, bulk mailing, preparing meeting material, etc.);
  • Performing other related duties as assigned.

  • Supporting the Centre's student and volunteer placement programs;
  • Working during both regular and extended hours of operation in locations identified by the Centre.

QUALIFICATIONS

Education and Experience:


  • High School diploma;
  • Oneyear Customer Service experience;
  • Experience in a reception/admin/office environment an asset;
  • Experience with a multiline phone system an asset.

  • Ability to work independently, as well as effectively in a team setting;
  • Excellent communication, interpersonal, problemsolving and organizational skills;
  • Demonstrated ability to work in a multicultural, multidisciplinary team environment;
  • Ability to work evenings and weekends, occasional day shifts may be required.

RÉSUMÉ DES FONCTIONSSe rapporte au gestionnaire immobilier, le titulaire est chargé du soutien en matière d'accueil et d'administration pour les programmes du Centre de ressources communautaires d'Ottawa Ouest (CRCOO).


PRINCIPALES RESPONSABILITÉS ET TÂCHES
Voir à accueillir les clients du Centre et faciliter l'accès homogène aux programmes et aux services
- ouvrir les lignes téléphoniques tous les jours et activer les lignes de nuit à la fermeture;
- déverrouiller les salles publiques et les portes des escaliers l'avant-midi et les verrouiller l'après-midi;
- accueillir les visiteurs, déterminer leurs besoins et les aiguiller en conséquence;
- répondre aux appels téléphoniques, déterminer les besoins des demandeurs, répondre aux demandes de renseignements ordinaires, prendre les messages et acheminer les appels au besoin;
- inscrire l'heure d'arrivée et de départ des bénévoles et du personnel;
- maintenir les cartes d'accès pour l'entrée et la sortie des étudiants et des bénévoles.

Entretenir l'aire d'accueil de la clientèle
- voir à la propreté et à l'ordre de la salle d'accueil, des présentoirs de dépliants et des salles d'attente, y compris l'aire de jeu des enfants;
- arroser les plantes une fois par semaine.

Offrir un soutien administratif au personnel du CRCOO
- offrir un soutien au personnel sous forme de traitement de textes de la correspondance, des rapports, des procès-verbaux et d'autres documents connexes;
- trier, ouvrir, dater et distribuer le courrier;
- voir à préparer et à envoyer le courrier de sortie et les messageries;
- recevoir et distribuer les télécopies au personnel concerné;
- préparer les chèques hebdomadaires pour leur distribution et envoi par la poste au besoin;
- réserver les téléphones cellulaires, les salles
