Description

We are looking to hire an experienced Office Manager to help keep the team organized and on-track by managing our administrative tasks and maintaining accurate financial records.


You will be a great fit if you are highly organized, self-directed and can identify and take initiative when a problem or opportunity is identified.

This hybrid role requires your presence at our Waterloo office for a minimum of three days per week.


You will be joining a global company with 50 years of experience in creating outstanding value to our customers, beyond what any traditional or conventional ventilation solution has ever done.


Your impact and responsibilities


As our Office Manager, you will report to our Finance team in Denmark with day-to-day direction and support provided by the division Vice President in Waterloo.

You will play a vital role in ensuring the seamless operation of our office and contributing to the accuracy of our financial records.


You will be responsible for:

  • Ensuring all financial records are kept up to date and shared with the Finance team in Denmark.
  • Processing the biweekly payroll for both hourly and salaried team members, ensuring adherence to all legislative compliance requirements.
  • Entering new hires and maintaining uptodate employee records within the HR management system.
  • Administering the company benefits program, including new enrollments, terminations, reporting of major changes, and premium calculations.
  • Preparing POs for company purchases, tracking the process through to payment.
  • Generating customer invoices as directed ensuring and tracking payment receipt.
  • Following up on pastdue payments, ensuring collections efforts are followed through until payment is received.
  • Organizing company social events, arranging details for company meetings, booking travel arrangements and organizing travel details for team members
  • Supporting any general office maintenance requirements, including sharing in general office cleaning (kitchen, common spaces), sourcing vendors for office repairs and keeping adequate stock for general office supplies.
  • Answering office phone line and checking the general voice mail messages allowing for prompt followup and reply
  • Supporting other administrative asks as required and directed by company senior leaders.

It's an advantage if you have:

  • College Diploma or University degree in accounting or a related field, or equivalent years of experience
  • Minimum 5 years of handson experience processing payroll, general accounting, including POs, invoicing, and tax remittances.
  • Strong knowledge of Canadian accounting and payroll legislative requirements.
  • Bilingual (English/French)
  • Aboveaverage knowledge of the MS Office suite
