    INTERMEDIATE SECRETARY (BAND LEVEL 4)

    Faculty of Humanities and Social Sciences

    (Permanent Position)

    DUTIES

    The Intermediate Secretary will work as part of a team with other members of the Office of the Dean and will be responsible for performing advanced secretarial duties requiring initiative, judgement, and confidentiality in support of the Associate Dean (Curriculum and Programs) and the Associate Dean (Research). Duties include providing direct logistical support to both the Associate Deans and the areas under their jurisdictions; arranging meetings for various committees which involves room bookings, coordinating schedules, preparing and managing agendas, and preparing and circulating minutes; providing primary support to the Faculty of Humanities and Social Sciences Council including assisting with the coordination of faculty-initiated proposals for changes to the university calendar, receiving all materials, preparing agendas, acting as recording secretary during meetings, and preparing and circulating minutes; coordinating special event functions (e.g. Dean's List); providing support to Distinguished Lectureships; providing support to various competitions (e.g. Post-doctoral, Arts Research Initiative); maintaining databases of information within both portfolios; circulating announcements to faculty, staff and students regarding scholarships, awards, and research opportunities; distributing and tracking all incoming correspondence; replying to inquiries via e-mail, telephone or written correspondence; typing letters, forms, reports and other documents from rough draft and preparing original drafts; liaising with other offices; and performing other related duties as required.

    QUALIFICATIONS

    Experience (3-5 years) in responsible secretarial work; completion of a two-year office or business administration program; or any equivalent combination of experience and training. The ideal candidate will have well developed organizational, interpersonal and communication skills; be detail-oriented and self-motivated; have exceptional time-management skills and be comfortable working in a fast-paced environment. Familiarity with and competency in Microsoft Office Suite, Banner Student and database programs are essential for this role.

    SALARY $49,308 - $57,841 per annum (Non-Bargaining)
