Real Estate Land Legal Assistant - Calgary

Standard Responsibilities:


  • Drafting, preparing and proofreading correspondence, accounts and various transactional documents and forms.
  • Land title searches, and general searches
  • Real Estate focusing on land transactions
  • Opening, organizing and maintaining files both electronic and hard copy as required
  • Maintaining and organizing client contacts, files and various calendars
  • Preparing forms such as cheque requisitions, wire transfers, trust deposits, and expense reports
  • Prioritizing workflow to ensure completion of accurate work within established timelines
  • Dealing with and responding to client inquiries expeditiously and conducting followup
  • General administrative duties such as scheduling appointments and meetings, preparing materials and working with other related Departments/services internally to provide documents and other materials on time to meet client needs
  • Managing administrative tasks including time entry and monthly billing cycle
  • Updating and maintaining client/matter lists and current client contact records electronically
  • Demonstrating a team approach, ensuring strict adherence to confidentiality; accountability in relation to both internal and external clients to achieve outputs and goals for the Department and the Firm
  • Other legal administrative duties as assigned or required

Qualifications:


  • Legal Administrative Assistant Certificate or Diploma from an accredited institution
  • Strong Administrative skills
  • Advanced Microsoft Word skills, proven ability to create and edit large documents
  • Proven proactive organizational/followup skills; strong grammatical skills, including punctuation and proofreading, attention to detail and accuracy are required.
  • Knowledge of accounting/docketing systems and Document Management Systems (iManage, Aderant) is also an asset.
  • Detailoriented, strong organizational skills and exceptional attention to detail
  • Displays extraordinary customer service in a professional, mature and courteous manner
  • Highly dependable and adaptable with a great work ethic
  • Ability to multitask, meet deadlines and solve problems in a fastpaced environment
  • Has the ability to work both independently and as part of a collegial team
  • Exceptional interpersonal skills
  • Excellent oral and written English communication skills
