    PRIMARY RESPONSIBILITY:

    The Faculty Secretary provides administrative assistance and support to Faculty members and law students.

    SUMMARY OF DUTIES:

  • Provide daily student and faculty-facing assistance and redirect queries to appropriate department.
  • Organize and support the first-year Legal Research and Writing Program, Academic Success Program, and the Lerners Moot.
  • Prepare and proofread course outlines, exams, class handouts, course books, exams, reference letters, etc.
  • Maintain Learning Management System (LMS) i.e., Brightspace, uploading syllabi, handouts, and other documentation.
  • Maintain faculty websites as needed.
  • Prepare, edit and post electronic curriculum vitae for faculty and maintain faculty SSHRC portfolios.
  • Prepare Human Resources paperwork (i.e., internal salary contracts, hiring authorization forms) for research and/or tutorial assistant students, track hours and prepare/submit time sheets.
  • Prepare travel arrangements, process travel expense reports, and inform faculty on use of University of Windsor Travel Policy guidelines as required.
  • Prepare exams while ensuring accuracy and confidentiality and coordinate with the Academic Coordinator to expedite exams for Student Accessibility Services.
  • Release take-home exams on Brightspace at appropriate times, ensuring that accommodated releases are tracked, and Statements of Non-Disclosure forms are completed prior to releasing exams.
  • Calculate exam grades and averages based on raw grades, compile grades for anonymous faculty viewing and recommend adjustments if required.
  • Co-ordinate collection of assignments, prepare and issue accurate receipts, ensure security of assignments and student anonymity once received (locked area/vault).
  • Other duties as assigned.
  • ESSENTIAL QUALIFICATIONS:

    The successful candidate will have:

  • Diploma in Office Administration or equivalent experience as it relates to the duties of the position
  • General knowledge of the academic and administrative structure and processes of the University and the Faculty of Law
  • High level of computer literacy, the ability to learn new software systems
  • Microsoft Suite (Intermediate Level mastery of Word and Excel), Learning Management System (Brightspace), Web maintenance software (Drupal), and room scheduling software
  • Basic knowledge of UWin Finance System or compatible system for processing expense claims
  • THE FOLLOWING TESTS WILL BE ADMINISTERED:

    MS Word (Intermediate), MS Excel (Intermediate) and Typing (30 NWPM)

  • HOURS OF WORK:

    Monday to Friday 8:30am – 4:30pm
