We are currently looking for a full time
Receptionist and Project Clerk to join our growing team

Reporting to the Manager of Estimating, the Receptionist and Project Clerk responsibilities may include, but are not limited to:

Receptionist

  • Answer incoming phone calls and redirect them when necessary
  • Greet guests as they enter and direct them accordingly
  • Keep office environment clean
  • Load and unload the dishwasher when required
  • Ensure office, bathroom and kitchen are continuously supplied
  • Schedule team meetings and order/pick up food for lunch meetings
  • Support Managers with administrative needs
  • Other duties as required

Project Clerk

  • Match customer invoices with the correct Forest job number to track job costs accordingly
  • Review Daily Construction Schedule to ensure correct job number is allocated to each invoice
  • Use our vehicle tracking GPS system to determine where materials were delivered to ensure correct job number is applied
  • Communicate with Foreman and Project Managers to ensure material was used on site
  • Review truck broker timesheets and allocate correct Forest job number for each timesheet and match with GPS system
  • Communicate with truck brokers to confirm they are invoicing correctly and completing timesheets correctly
  • Monitor specific vendor accounts to ensure payments are processed promptly.
  • Other duties as required
  • Excellent verbal and written communication skills
  • Excellent attention to detail with a high degree of accuracy
  • The flexibility to adapt and change to a fastpaced environment
  • The ability to work both independently and as part of a team
  • Very strong computer skills and experience with Excel, Microsoft Office and Outlook
  • A driver's license and access to a reliable vehicle (preferred)
