Our team is looking for a Document Controller / Administrative Assistant who is comfortable working in a dynamic and fast paced environment.

As a Document Controller, you will be responsible for ensuring that all documents follow internal and external Document Control Procedures throughout the duration of multiple projects under execution concurrently.

To achieve this, you must stay connected with the project execution team(s) to ensure you understand which documents must be sent to which clients by which dates, while meeting Tri Innovations document quality standards.

You must manage the document register and provide document numbering and control to the project execution team(s) and ensure all document control processes and procedures are being followed by all individuals.

As an Administrative Assistant, you will assist in both Human Resources and general office duties.


Responsibilities

  • Capture project document deliverables in accordance with approved processes and procedures, including client specifications and requirements, for consumption by the project execution team
  • Provide routine quality checks on all outgoing documentation in accordance with established procedures
  • Expedite the review and approval of engineering deliverables and vendor documentation
  • Create and send transmittals for issuing drawings and documents
  • Review RFQ / RFP packages and issue to Supply Chain Management
  • Receive, process and distribute Vendor documentation in accordance with the VDR (Vendor Documentation Requirements)
  • Create and update Vendor document tracking logs in accordance with the VDR
  • Respond to internal and external drawing and document requests
  • Ensure effective and timely turnover as well as archiving of project records

Qualifications

  • Minimum 3+ years of document control experience
  • High school diploma as a minimum. Post secondary education considered an asset
  • Flexibility, adaptability and ability to work within a changing environment
  • Ability to work across a variety of projects with diverse scopes
  • Keen attention to detail with a high standard of organization skills
  • Proven ability to work with multiple deadlines and multiple priorities, and a strong ability to proactively prioritize projects / tasks
  • Good knowledge of Office and Mac based products
  • Good interpersonal skills (office is very team based, so collaboration is key)
