Program Assistant*
Start Date: As soon as possible

Salary Range:
$39,176.70 to $53,003.76


Location:
Henlow Campus and/or remotely, as required


Monday to Friday, 8:30 am to 4:30 pm (35 hours/week)


Reporting to the Manager, Academic Operations, the Program Assistant (Academic) will be responsible for providing support to the Program Managers and Manager of Academic Operations by performing administrative duties to ensure the efficient functioning of the Academic Administrative unit.

The Program Assistant has well developed time management and interpersonal skills, and exercises initiative and sound judgement in managing workloads and priorities.

Responsibilities include but are not limited to:

  • Assists the Program Managers with form completion, submission, and follow up for People Services recruitment processes.
  • Tracks academic staffing contracts and ensures timely completion of contract renewals.
  • Prepares purchase orders and financial reports under the direction of the Manager or Academic Coordinator, including submission and tracking.
  • Provides approved course and program documentation to the Registrar's Office.
  • Ensures the accuracy of program information in various locations including MITT's website, CAMS, and LMS (MyLearning) following up with key stakeholders to effect timely updates.
  • Prepares and tracks invoicing requirements under the direction of the Manager or Academic Coordinator.
  • Assists with tasks required to prepare and maintain academic program delivery spaces (room bookings, etc.)
  • Tracks details of assigned academic projects and follows up with project stakeholders.
  • Liaises with internal and external stakeholders, including students, parents, partnering institutions, and industry representatives, as required.
  • Drafts communications for distribution to students, parents, and other stakeholders.
  • Prepares current student academic communications including letters and supporting documents for student suspensions, distinctions, and reentry.
  • Prepares program delivery documentation as assigned by the program manager including program/course schedules, and program completion information.
  • Schedules departmentlevel meetings, prepares meeting agendas, takes and distributes approved minutes.
  • Tracks student progress and persistence, including withdrawals and reentries.
  • Responds to firstlevel program enquiries from current students.
  • Assists with daytoday operations of academic delivery department.
  • Provides assistance with the creation, tracking, maintenance and review of internal processes for continuous improvement of departmental operations.
  • Ensures that all regulations and college policies are adhered to, including FIPPA.

Required Qualifications and Experience:


  • A combination of related education and experience may be considered._
  • Postsecondary education certificate or diploma in business or office administration.
  • A minimum of 1 year administrative and/or clerical experience.
  • Advanced skills in Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Acrobat Pro.
  • Excellent written and oral communication skills with the ability to provide clear and concise information and instructions.
  • Ability to perform a diversity of clerical and administrative tasks efficiently with accuracy.
  • Strong grammar and writing skills and experience preparing accurate, errorfree documents.
  • Able to collaborate effectively as a member of a team as well as complete tasks independently.
  • Customer service orientation and the ability to provide a high standard and quality of service to all stakeholders.
  • Have a strong work ethic and be flexible in a challenging and continually changing environment.
  • Must have a high sense of urgency to complete tasks and solve problems.
  • Ability to protect confidential information and demonstrate professionalism.
  • Have a high level of integrity and accountability.
  • Highly organized and able to prioritize multiple and competing tasks in a fastpaced environment.

Preferred Qualifications and Experience:


  • Experience with student information systems, preferably CAMS.
  • Experience working within a learning management system.
  • Experience providing administrative support in an academic environment is an asset.
