Overview


Are you an experienced Administrative Assistant looking for a new challenge? Would you like to join a passionate team responsible for protecting the public from investment schemes? As the Administrative Assistant, you would be r eporting to the Deputy Director, Enforcement and would be responsible for a portfolio of specific administrative tasks supporting the Investigations Branch.


Some of your main responsibilities include:

  • Editing and formatting correspondence, memos, charts, orders, and presentations
  • Assisting with the receipt, tracking, handling, redaction and storage of evidence
  • Populating electronic databases
  • Entering bank and brokerage information into spreadsheets, reports and affidavits
  • Organizing interviews, including booking court reporters and translators
  • Preparing exhibits for interviews
  • Making travel arrangements for witnesses and investigators
  • Updating stats and reports
  • Processing travel and other expense claims
  • Ordering office supplies and monitoring the budget
  • Booking meetings, drafting agendas and taking minutes
  • Arranging training and conferences
  • Providing backup for the other Investigations assistant who manages the deputy director's schedule, as well as the other Enforcement assistants
  • Participating and assisting with the implementation of various Commission initiatives.

Qualifications

  • Secondary School graduation with the completion of an Executive Assistant program, and a minimum of four year's administrative assistant experience, or an equivalent combination of education and experience
  • Working knowledge of MS Office including Outlook, Microsoft Word and Excel
  • 50 WPM typing ability
  • Excellent knowledge of proper form business letters and business English
  • Ability to work with a large volume workload and produce high quality and accurate documents
  • Ability to work under occasional stress and maintain a positive attitude
  • Strong oral and written communication skills
  • Good judgment and initiative.
