JOB TEXT:


Reporting to the Director of Schools (DOS) for FOS 5 and 6, the Confidential Secretary provides senior-level administrative support to the personnel of the Programs divisions within the Newfoundland and Labrador English School District (NLESD) and services FOS 5 and 6.

Duties would include providing assistance with general inquiries, database management, in-service training, meeting planning and calendar maintenance, correspondence, recruitment, and other duties as assigned.

Responsibilities will include, but may not be limited to, the following:

  • First point of contact for calls and inquiries that come to the attention of the Director of Schools
  • Troubleshooting and problem solving the calls to support the inquiry to determine if it needs to be forwarded to DOS or other personnel
  • Assist in the preparation of documents and spreadsheets for data tracking and other purposes
  • Liaise between Program Specialists and the Programs, Finance and Human Resources divisions of the District
  • Making travel arrangement and verifying travel claims according to District guidelines, when needed
  • Coordinate and set up interviews as necessary
  • Assist in the coordination of professional development sessions with respect to copying of materials and organization of related tasks
  • Prepare correspondence as necessary
  • Schedule meetings and taking minutes, if needed
  • Order materials as necessary
  • Copying, filing and formatting documents
  • Other related duties as assigned

Other Requirements:

  • Experience working in a computerized office environment
  • Thorough knowledge of office procedures
  • Proficiency in GSuite, Microsoft Word, Excel, Access and other applicable software programs
  • Strong oral and written communication skills
  • Ability to work independently and as part of a team
  • Positive interpersonal skills
  • Strong organizational ability
  • Must obtain and retain a valid certificate of conduct

Education Requirements:

  • Completion of a 2year diploma/certificate program from a recognized postsecondary institution in Office/Business Administration. Equivalencies may be considered.
