As Customer Service Rep/Administrative Assistant you will be the first point of contact for incoming customers, clients, and callers. This position will model our principal values, understanding the important commitment to professionalism and customer service.

The core of this role supports the flow of clients to the showroom, while also executing other administrative duties for general administration within the organization.


Essential Functions

  • Being the first point of contact to all clients and visitors to our building, greeting them in a friendly and professional manner, and directing them to the appropriate contacts as needed
  • Handling, screening, and redirecting all incoming calls in a courteous manner
  • Assisting other Sales departments with data entry and other administrative duties, as required
  • Coordinating support for art consultant projects/orders, such as work order input, external décor ordering, installation quote inquiry, installation setup/pickup, etc.
  • Prepping original artist documents and facilitating the Showroom price labeling for new products, as instructed by Manager
  • Performing cash & carry sales in the Showroom when needed
  • Overseeing the client's drop off/pick up for custom projects as needed for appointments/projects, and relaying info to appropriate consultant, calling and coordinating client pickup and invoice payment
  • Coordinating client invoicing with accounting; filing all invoices for client pickup
  • Cleaning and overseeing the upkeep of all framing tables daily, replenishing specific supplies when low and returning all frames/products to their appropriate place
  • Cleaning and maintaining reception space, ensuring it is tidy and presentable to clients each day
  • Maintaining office supplies and placing orders with relevant vendor(s); monitors and orders coffee, tea, water and other catering/goods as required
  • Assisting with organizational administration, meeting requirements, food orders, office supply orders
  • Supporting employee information delivery benefits, employee info packages, etc.
  • Perform other duties as assigned by management

Job Qualifications

Education:
College or University degree is considered an asset


Knowledge, Skills and Abilities:


  • Ability to learn new processes quickly
  • Strong attention to detail and well organized
  • Strong ability to multitask and prioritize on the fly
  • Strong problemsolving skills and ability to diffuse client escalations
  • Excellent verbal and written communication skills
  • Professional phone manner and appearance
  • A collaborative and flexible team player
  • Previous sales skills in a retail environment are an asset Software Application and

Technical Knowledge:

  • Proficiency with Microsoft Suite
  • Office Professional (Excel, Word, Outlook), Sharepoint, Visio, MS Project, etc.
  • Proficiency with organizational or enterprisewide software
