Position Purpose and Summary


The Coordinator, People & Culture is primarily responsible for the day-to-day service requests and ensuring the smooth operation of the People & Culture (P&C) Office.

This position directs several key P&C employee services programs and operates the general communications of the P&C department. Reporting to the Manager, People & Culture, this position also provides support to the P&C Leadership Team.


Key Areas of Accountability

Administrative Service and Support

  • Coordinate events, meetings, interviews and supporting activities/materials as required.
  • Respond to P&C Help Desk requests by processing requests via response or redirection as appropriate.
  • Coordinate and perform office administration activities including, but not limited to, collecting various correspondence froM/For clients and/or P&C team members, ordering office supplies, processing invoices, assisting with contract coordination, and maintaining the general office spaces, printers, etc.
  • Updating or creating resource materials, such as policies and procedures, including webbased references.

People & Culture Programs

  • Coordinate and manage employee service award and recognition programs.
  • Responsible for conducting regular audits (monthly, quarterly, semiannually) using an established HRIS and supplemental tools to ensure accurate and current employee and contractor information.
  • Produce regular employee communications including digital newsletter(s) or other products as required; coordinate gathering of articles and photos from P&C team members, TWU faculty and staff.
  • Responsible for ensuring employee mailing lists are updated and accurate. Work in collaboration with Marketing and Communication teams to support TWU public relations as needed.
  • Manage communication platforms such as the P&C Internet and Intranet site, ensuring it is up to date with appropriate, professional, legally compliant documents, policies and procedures, relevant news, etc.
  • Support and coordinate TWU events for employee groups such as special events, education sessions and employee recognition events.
  • Provide administrative support for processes related to Occupational Health and Safety.

People & Culture Team Responsibilities:


  • Responsible for accurate and timely creation of employment verification letters.
  • Administer the myHSA/myWSA benefit program for staff and faculty.
  • Provide back up support for HRIS queries and administrative processes.
  • Responsible for probationary review tracking and support for all employee groups.
  • Statistical reporting including, but not limited to, Canada Revenue Agency, Statistics Canada or other reporting bodies.
  • Provide administrative support to the P&C Leadership Team as requested.
  • Complete assigned projects to continuously improve knowledge and understanding of emerging P&C issues, industry trends, strategies and tools to assist the P&C Team in achieving its development goals.
  • Other duties as assigned.

Student Employment

  • Support with the overall operation of TWU Student Employment
  • Complete hiring and other administrative processes to facilitate students' employment including drafting employment agreements for student employees
  • Maintain accurate and uptodate student employment records
