This Opportunity
The Smith + Andersen London office is seeking a Project Coordinator (PC).

The PC plays a pivotal role in efficiently managing the quality coordination of projects while fostering strong relationships with both internal team members and external stakeholders.

The PC role will ensure client satisfaction, while driving project quality and profitability.

This role involves collaborating closely with the internal team (mechanical, electrical, and systems) to coordinate deliverables, mechanical and electrical (M&E) coordination process, Total Quality Management (TQM) process oversight, deliver information promptly, and support overall organizational needs.

What You'll Do

  • Assist with the tracking of workload, staff availability, project deadlines and deliverables.
  • Coordinate the Smith + Andersen Total Quality Management (TQM) process for projects to ensure the quality of the deliverables.
  • Coordinate the process of the quality management through scheduling project milestone meetings with the Project Managers for each discipline throughout the project.
  • Assist with the project initiation process.
  • Assist with the logging, tracking and completion of shop drawings, job reports, Site Instruction indexes and Change Notice indexes, progress draws and/or payment certificates.
  • Coordinate and schedule meeting invites based on project deliverables and involved staff availability.
  • Maintain a master office project schedule to ensure project timelines and deliverables have been documented and assigned.
  • Assist Project Managers and Management with project resources, coordinating project schedules and deliverables with staff workload.
  • Follow up with clients and staff to expedite the execution of deliverables, ensuring accuracy and timeliness of delivery, commensurate with expectations.
  • Coordinate the delivery of multidisciplinary issuances including the review to ensure proper formatting of documents for client issuances to ensure consistency.
  • Track and follow up with new hires on their onboarding training checklist completion.
  • Aid in the production and delivery of reports and project specifications through proper document formatting, proofreading and final quality check.
  • Communicate with both internal and external stakeholders by demonstrating a high level of customer service, professionalism and accuracy.
  • Monitor and order office supplies as required.
  • Provide general project administration support to the Management Team.

Who You Are

  • 13 years of project coordination experience.
  • Previous experience in a related industry such as engineering, construction or architecture is a strong asset.
  • Excellent organizational skills to effectively manage and prioritize multiple projects simultaneously.
  • Self motivated to take the initiative to execute processes.
  • Strong analytical and problemsolving abilities.
  • Strong verbal and written communication skills.
  • Flexibility to adapt to changing project priorities and deadlines.
  • Ability to collaborate effectively with crossfunctional teams.
