A key resource in the Architectural Millwork team the
Project Coordinator is a direct interface between internal Production and Logistics teams as well as external client site and installation teams.

The role serves as a bridge between the project and product deliverables.

The Coordinator works closely with the PM during project development phases, taking ownership of the sample and document approval process and taking a lead role during execution to ensure the physical deliverables are ready and aligned for delivery, offload, and installation.

They assist with managing deficiencies and supply of change orders or additional material to site.

They are a key part of overall project success with a focus on completeness and on-time delivery of both project and product deliverables to internal teams as well as clients.

Coordinators are the link between the Project team and the shop; chasing the product through Production and working closely with the Production Planner and Logistics Manager to ensure it's ready and on the truck for delivery.


Overall project success is measured by budget and delivery outcomes per the established forecast/schedule as well as positive client satisfaction surveys.


YOUR RESPONSIBILITIES *(by project phase):
PROJECT DEVELOPMENT*- Gather and submit samples tracking and seeking timely client approvals.

  • Working with Supply Chain to ensure material availability, lead time and manage alternate materials
  • Direct buy items (procured by the Project team); finds suppliers, RFQ's and reviews quotes with the Project Manager.
  • Ability to identify direct buys and seeking budgetary quotes as required. Multiple Reports.
  • Attend project kicks offs with the PM to identify Direct Buys and critical path materials/samples.
  • Works with Project Manager to build the project in our MRP system (Seradex) offering input on configuration with consideration given to the individual fabrication, delivery and installation requirements of each job.
  • Project setup in Bridgit or other deficiency management/construction management software.
  • Responsible for sample process (includes collection, documentation, client submission and approval)
  • Work with Supply Chain to explore alternate materials for cost and schedule optimization
  • Create estimate in Seradex once W.O. Review meeting is complete
  • Schedule and attend Project Kickoff, Think Tank, and WO Review meetings
  • Send preliminary drawings and matrices for budgetary quotes
  • Reviews with PM and updates installer contracts and issues to installer

PROJECT EXECUTION

  • Tracks deficiencies and ensures material gets to site. Manages Service, Logistics and installers as required.
  • Can steward own project material budget for direct buys.
  • Issues electronic and bound hardcopies of final shop drawings to installers
  • Follows up on Buy Items and ensures dates are being met by vendor(s)
  • Works closely with Logistics to ensure base contract materials, Service, change order and Direct buy materials are expedited to site in the most efficient manner.
  • Works closely with Production Planning to track projects through production. Identifies any hurdles or unique/developing project requirements.
  • Communicates changes in project delivery schedules to Production, Logistics, Supply Chain.
  • Works closely with BlueStreak (Service Department) to understand completion dates and provides additional information as required.
  • Receives additional material requests directly from the installers, works with them to understand progress on site and timing for the delivery/need for materials.
  • Reviews delivery slips against actual and coordinates follow deliveries

PROJECT CLOSEOUT

  • Assemble & submit closeout package
  • Schedule Lessons Learned meeting
  • Send info to Sales to perform Customer Satisfaction Survey

YOUR SKILLS & EXPERIENCE:


  • 35 years experience in a Project Coordinator or related role
  • 35 years experience working within the construction or design architectural industry (preferred)
  • Familiarity with commercial design principles
  • Ability to review Architectural drawings, contract documents & specifications
  • Knowledge of AWMAC Standard is considered as an asset
  • LEED certification or knowledge is preferable but not mandatory
  • Highly effective negotiation, diplomatic, and conflict resolutions skills
  • Able to effectively communicate with all types of staff, including technical, professional, and upper management, both verbally and in writing
