The Role
Key Responsibilities
- Act as the main point of contact between landlord and tenant. Monitor tenant feedback and issues, informing the Property Manager and Building Operations Manager of complex or escalated issues.
- Respond to inquiries from tenants, service providers, and contractors, redirecting issues to the appropriate staff member for action and resolution when necessary.
- Coordinate between IEP staff, tenants, and vendors / service providers, providing assistance with scheduling, work orders, quotes, invoices, and service contracts.
- Create and maintain digital property and tenant files in Sharepoint and Yardi.
Detailed Duties
- Utilize, and maintain proficiency with, various Yardi modules for tenant communication, vendor management, and work orders.
- Utilize task management software to monitor and coordinate including tenant movein / moveout, new property onboarding, and vendor work.
- Create and provide notices to tenants on a wide variety of topics, including inspections, site visits, building reviews/repairs, payments due, etc.
- Update and maintain preventative maintenance system and track/report utility readings where necessary.
- Assist in the management of the building/parking access card system and maintain uptodate records of all card/permit holders.
- Assist the Property Manager with assembling estimates from contractors/trades and providing quotes to tenants.
- Contribute to the production of various reports, including monthly reports for clients, key performance indicator reports, annual budgets, leasing, projects, and operations reports.
- Track service contract renewal dates and monitor for upcoming expiries; assist in service contract implementation, coordinating tenders, and job showings.
- Assist the Property Manager with ensuring compliance with lease provisions.
- Track tenant certificates of insurance and request updated certificates upon expiry.
- Coordinate and attend meetings, site visits, and prepare meeting agendas/minutes as required.
- Assist Property Manager with A/R collection, in conjunction with the finance team when required.
Skills and Qualifications
- Degree or diploma in business, real estate, or a related field.
- 2+ years of experience in commercial property administration or experience that would be considered equivalent.
- Excellent communication skills with the ability to interact with a variety of tenants and stakeholders.
- Ability to provide a customer serviceoriented approach when interacting with tenants, landlords and IEP team members.
- Exceptional organizational skills with the ability to prioritize multiple requests and deadlines.
- Ability to adapt to new processes and work accurately in a fastpaced environment.
- Valid driver's license and reliable access to a personal vehicle.
