Job Description:
Reporting to the Vice President of Operations, the Executive Assistant role at AIM provides administrative support to key leaders, manages travel and entertainment resources, and performs other office managerial functions as required.
Administrative support to key leaders
- Prepares correspondence, memos, and takes meeting notes as required
- Manages calendars for key leaders, including scheduling meetings with clients and other visitors
- Distributes mail, and answers and phone calls
- May be required to conduct research on certain managerial items
Travel and entertainment resource management
- Makes travel and accommodation arrangements for management team
- Completes and submits management team expense reports
- Plans entertainment for clients
- Plans and manages the use of business assets (condos, fishing camps, etc.)
- May plan and schedule employee activities and events
Office Management
- Keeps offices organized (e.g., archiving, filing, etc.)
- Manages office supplies, ensuring sufficient quantity is on hand
- Maintains files
- May oversee other office staff
Qualifications:
- College Diploma, or High School Diploma with relevant experience
- Minimum of five (3) years of relevant experience in a similar role
- Professional level communication skills
- Excellent computer skills with an indepth knowledge of all Microsoft 365 programs (Outlook, Word, Excel and PowerPoint)
