Job Purpose
Provides efficient, timely and responsive administrative support to the Recruitment Team.
Supports consistent, fair, and equitable employment practices within the scope of recruitment and selection functions within the Durham District School Board.
AccountabilitiesPROVIDE ADMINISTRATIVE SUPPORT:
Assist in the daily operations of the Recruitment function. Provide a wide range of administrative and logístical support.
Respond to calls, requests or inquiries from applicants, administrators and staff members and ensure that requests for action and appropriate information are responded to and acted on and replied to in a timely manner.
Create various templates and correspondence for the division, manage access requests to the applicant tracking system and guide employees and the public about legislations and procedures regarding the recruitment process.
SUPPORT RECRUITMENT PROCESS:
Monitor and support the Board's recruitment and selection processes, update interview results and ensure that applicant databases are current.
Coordinate, schedule and monitor interviews, practicums and background checks (including reference check process).CONTRIBUTE TO CONTINUOUS IMPROVEMENT:
Identify, collaborate and discuss opportunities for continuous improvement and sustainability of systems, processes and practices within the Recruitment function considering productivity improvement and DDSB's commitment to equitable hiring practices.
RECRUITMENT EVENTS:
Participation in various recruitment events (online, off-site, may include occasional week-ends and evenings).Assist with the planning, tracking and logistics of Recruitment events.
Ensure any required materials, supplies, equipment, and locations are arranged and prepared in advance, and review all materials prior to the delivery of a program.
Adjust schedules and make contingency plans as necessary. Communicate with relevant staff/resources/vendors to coordinate, schedule, and plan as necessary.STUDENT PLACEMENTS PROCESSES:
Receive placement requests from Placement Officers from various Colleges and Universities seeking to secure student in placements in our schools throughout the year.
Review requests to ensure all details are accurate and complete and identify a placement match and manage the necessary communication process.

Time management, planning and organizational skills. Ability to prioritize work load.
Experience working in a fast-paced environment with high volumes
Sound judgement and ability to multi-task
Advanced computer proficiency in Microsoft Office Suite (Word, Excel and PowerPoint), online Google tools, comfortable with emerging technology.
Experience working with an applicant tracking system.
Ability to work independently and in a team environment
Exceptional written and oral communication skills
Education and Experience
Education
Completion of post-secondary program in Human Resources (or related discipline) or a combination of education, training and experience deemed to be equivalent.
2 years experience working in a Recruitment/HR team required
2 years HR Administration experience required
1-2 years Customer Service Experience
