Position Title:
Intake Coordinator


Reports to:
Director of Administration and Finance and Executive Director


Description
The Intake Coordinator is the first point of contact for all participants and contracted agencies to the Aulneau Centre.

Their role is to handle all requests for service, gather all required information, create data and clinical files, organize and track service contracts.

The Intake Coordinator is part of both the administrative team as well as the clinical team at the Centre.

The Intake Coordinator maintains good working relationships with all participants, referring agencies as well as all clinical and administrative staff.


Responsibilities:


A. Coordination of Sliding Scale and Contract intake requests

  • Process all new sliding scale counselling and contract intake requests and inquiries.
  • Align the needs of participants with counselling services.
  • Ensure all intake forms are completed and the appropriate information and documents are gathered from participants and agencies.
  • Enter intake information into Intake Database.
  • Compile new files and assign file numbers.
  • Open participant accounts with billing information in QuickBooks
  • Prepare contracts, and ensure all contracts are signed and processed in a timely manner.
  • Track participant data.
  • Remind staff of contract renewals and complete contract renewals in a timely manner
  • Ensure that staff have updated contract information in files and QuickBooks and
  • Meet with staff regularly to assist in monitoring contract dates and session status for participants.
  • Ensure that reports are stored electronically, are in files and are sent to the referring agency (if applicable) in a timely manner in pdf format.
  • Ensure confidentiality of all participant data.

B. Networking with agencies

  • Create and maintain relationships with community partners, Indigenous agencies and communities, Child and Family Service agencies (CFS) and other referring agencies.
  • Have extensive knowledge of the programs and services that we offer.
  • Proactively contact agencies to ensure we receive contracts to assist with contract revenue flow.

C. Other duties

  • Monitor contract requests to ensure that financial goals of the agency are maintained
  • Delegate important responsibilities when absent for the continuation of services.
  • Provide statistics and waitlist updates monthly to Executive Director and Director of Administration and Finance.
  • Be a point person for questions around Penelope system.
  • Contribute to strategic and longterm planning regarding sustainability of services.
  • Perform other related duties as required and in accordance with the Center's mission
  • Ensure best practices are followed in the agency.

Qualifications:


  • Bachelor's degree in social work or psychology. A suitable combination of experience and training will be considered.
  • Clinical experience considered an asset.
  • Awareness and knowledge of the Truth and Reconciliation's Calls to Action.
  • Cultural competency.
  • Ability to speak French preferred.
  • Ability to speak an Indigenous language considered an asset.
  • Professional, courteous and tactful manners.
  • Strong computer skills including demonstrated knowledge of computerized office software such as Microsoft Office.
  • Must provide current Criminal record check, Adult and Child Abuse Registry Checks.

Hours of Work:


  • Full time

Salary:
$22.61-$28.49 per hour
