    Astellas Pharma Canada (APCA) is currently searching for a Coordinator, Medical Communications Excellence reporting to Senior Director, Medical Communications Excellence.

    The Coordinator, Medical Communications Excellence will support day-to-day business operational activities for Medical Affairs colleagues in global Medical Communications located in multiple locations. The responsibilities will include activities related but not limited to Business Operations Support for Global Medical Communications, Contracting & Purchasing, and Financial Planning support.

    ​​ Essential Job Duties

    Business Operations Support

  • Process Contract & Purchasing requests for Global Medical Communications colleagues worldwide
  • Manage payment status of all Purchase Orders and Invoices across Global Medical Communications
  • Liaise with business operations, sourcing, suppliers, contracting and legal as needed, serving as Global Medical Communications primary Point of Contact for business operations related activities
  • Keep the global Medical Communications team informed of deadlines and changes from above teams
  • Responsible for ad hoc business operations projects including but not limited to: sharing of best practices, development of templates, process mapping and other related projects
  • Financial Planning Support

  • Liaise with Finance team as primary Point of Contact for Global Medical Communications
  • Update budget trackers (e.g., Anaplan), support budget forecasting activities by providing financial overviews
  • Compliance

  • Support compliance related processes, including but not limited to submitting requests via the Interaction Approval System
  • Embed Compliance Culture across all areas of the business ensuring Integrity in Action is actively applied in all initiatives
  • Ensure adherence to Astellas policies relating to Ethics and Compliance standards
  • Other

  • Other operational ad hoc duties as may be reasonably required by the business
  • Quantitative Dimensions:

  • Purchase orders/expenses for all Global Medical Communications non-study tactics (~1,000 tactics/year)
  • Monthly and quarterly financial reporting (~30 M USD annually)
  • Organizational Context:

  • The position reports to the Sr. Director, Medical Communications Excellence
  • Collaborates closely with Medical Communications Leadership Team and all levels within their respective teams, external vendors, suppliers and consultants, professional and/or regulatory bodies, Ethics & Compliance, Finance
  • Requirements

    Required Qualifications

  • Bachelor's Degree
  • 2+ years of experience and proficiency working with financial tools and/or management systems (eg, My Buy, My Contracts, Anaplan, Echo, Interaction Approval System)
  • Strong written and verbal communication skills.
  • Ability to work independently as well as in a team setting and under management.
  • Demonstrated ability to develop and maintain effective collaboration relationships with team members and internal/external partners.
  • Ability to prioritize and organize a high-volume workflow and follow a project through to completion, ensuring attention to detail and highest level of accuracy within required timeframe.
  • Experience working with both internal and external customers and business partners.
  • Knowledge and/or experience working with groups with varied cultural backgrounds and learning styles.
  • Demonstrated commitment to achieving results through work efforts and ability to drive to desired goal completion.
  • Intermediate to Advanced competency and experience with a variety of computer applications, including Microsoft Suite, MS Project, SharePoint, MyBuy, MyContract, Anaplan, Echo, Interaction Approval System.
  • Preferred Qualifications

  • Experience collaborating with knowledgeable individuals from within and outside the departments, as well as affiliates globally
  • Ability to self-motivate and drive for strong results.
  • Understanding of financial/legal/regulatory/compliance requirements and guidelines with respect to medical communication activities within the pharmaceutical industry
  • Experience working across multiple cultures and countries/regions
