Portfolio Resource Coordinator Lead - City of Vancouver Contract


Under the general direction of the Contract Management team, the position of Portfolio Resource Coordinator (PRC) will be a fully dedicated resource to the City of Vancouver (COV) contract and an important member of the COV Leadership Team.

The position is responsible for ensuring portfolio resource coordination, strategic scheduling support and other forms of support assigned by the COV Contract Management Team.

This is primarily achieved through proactively addressing resource needs, filling open shifts, and reducing overtime through strategic initiatives.

The PRC Lead will also provide administrative support for the portfolio, which includes ensuring accurate data entry in WinTEAM software, facilitating security officer training and specialized clearance requirements, processing online ticket submissions, assisting with the implementation and management of the Occupational Health and Safety (OH&S) program etc.

This position will be highly engaged in operational activities, including, but not limited to facilitating set-up of new coverage sites, engaging with the dedicated pool of security personnel and providing other assistance as needed.


KEY ACCOUNTABILITIES:


  • Strategically identify open shifts/open lines and work with the Client Service Team to ensure schedules are complete and adhere to our contractual obligations
  • Fill cancellations and openings in the daily schedule that are prescribed to the PRC based on the type of coverage required and type of guard required
  • Work within a dynamic team environment with multiple internal stakeholders including Site Supervisors, Security Officers, our Operations Centre, Client Service Managers and Senior Management. In addition, working closely with members of the City of Vancouver's Corporate Protective Services (CPS) Security Team
  • Develop knowledge of Paladin's contractual obligations with the COV and be prepared to assist with the overall management of the program. This may include site visitations, ongoing training, and a close working relationship with Paladin's management group
  • Support and Process JIRA ticket submissions as they relate to your portfolio of sites: HR Needs, Deployment and Onboarding, facilitating Training calendar for PSG and COVbased training, Payroll Adjustment, Averaging Agreements etc.
  • Support the COV Team by managing necessary training for employees and maintaining the Training Matrix on a regular basis
  • Support the COV Team is the management of the Paladin Occupational Health and Safety (OH&S) Program, including updating Site Specific binders, issuing Safety Talks and JOHSC Meeting minutes, auditing OH&S site documentation and preparing for Certificate of Recognition (COR) audits.
  • Participate in a leadership role during the transition process, as directed and provide updates to necessary stakeholders (as needed)
  • Work with Paladin's WinTEAM software to ensure accurate and timely scheduling, training tracking, billing, and payroll and perform various audits on monthly, quarterly and annual basis.
  • Complete Daily, Weekly, Monthly and Quarterly reports for distribution and use by the COV Contract Management Team.
  • Performs other duties as requested to assist with the COV Contract Management Team.

SKILLS AND QUALIFICATIONS:


  • Post-Secondary Education in Business Administration or related is preferred
  • Working knowledge of Employment Standards Legislation and Human Rights Legislation
  • Working knowledge of Paladin's Occupational Health and Safety (OH&S) Program
  • Advanced working knowledge in MS Office and Teams
  • Advanced knowledge utilizing WinTEAM software environment for scheduling functions and reviewing and auditing training compliances, adjusting pay and bill rates, building new coverages per established guidelines etc.
  • Strong Interpersonal and Leadership skills, and Excellent Verbal and

Written Communication:
ability to maintain connectivity with all levels of leadership and liaise with the personnel in the field.
