The Position:
We're looking for an experienced and dedicated Project Coordinator to join our team. In this role, you will work to ensure projects are run efficiently from receipt of contract to project closure.

This role works closely with Project Managers and the Production team to assist in scheduling, tracking, reporting and execution of all projects.

The Project Coordinator will also have strong leadership skills, as well as the ability to collaborate and motivate a team to ensure operational excellence.

What You Will Do:
Scheduling & Project Preparation

  • Assist with preparation, scheduling, tracking, reporting of projects
  • Effectively communicating with all key stakeholders, including clients, administration, finance team, production
  • Ensure client records are accurate and up to date
  • Ensure all schedules projects are verified with Production team
  • Ensure proper technicians, and other appropriate resources, are scheduled based on the required skills for the project
  • Prepare documentation for Production, clients, ex. scope of work
  • Collaborate with Production, as required support that materials are ready for project with the proper documentation is completed and processed
  • Ensure completed work orders, invoicing and close out documents are processed, completed as required by clients, administration, finance team and other stakeholders
  • Coordinate work in collaboration with Project Managers, Production, others where appropriate
  • Followup with Suppliers on deliveries
  • Coordinate change orders, update documentation, ensure communication etc.
  • Communicate with the appropriate local jurisdiction/authorities when required
  • Assist with client inquiries
  • Collaborate with Project Managers on regular Work in Progress (WIP) reviews
Administration

  • Assist with processing new projects based on documentation provided by Sales
  • Process invoices for work completed as directed by the contract, Project Manager, Senior leaders etc.
  • Create and maintain job files in all appropriate systems, update with notes for invoicing details, special client instructions and all other information necessary to accurately complete the required work
  • Maintain the WIP master list
  • Collect and submit city permit documents to the corresponding municipalities
  • Work with Finance team to ensure payment information is collected for COD clients
  • Participate in site visits, meetings as required
  • Other duties as required

What You Bring:

  • Completion of post secondary education in a related discipline or combination of education, training and experience deemed equivalent
  • 2 years' experience and knowledge of project coordination, experience in manufacturing industry an asset
  • Exceptional organizational, attention to detail and accuracy skills
  • Strong interpersonal and communication skills
  • Ability to meet deadlines
  • Ability to work independently and within a team environment
  • CAPM (Certified Associate in Project Management) and/or PMP (Project Management Professional) designations are an asset
