Under the general direction of the Director, Student Development & Career Programming, the ProgramAdministrator will work closely with the student development team to provide program administration and planning support for the development and delivery of curricular and co-curricular programming and logistics, including the admissions and enrollment process.

The Program Administrator will also liaise with contacts to ensure consistent administrative procedures are followed. This is a highly collaborative work environment dedicated to the success of our students.

As a first point of contact for our current and prospective students and stakeholders, the Program Administrator plays a critical role in creating a positive, welcoming, and professional experience, while ensuring fast, efficient, and accurate customer service.

The incumbent will be strongly committed to student success and equity, diversity, and inclusion.


Your responsibilities will include:


  • Acting as the first point of contact for programrelated enquiries.
  • Responding to enquirieswithin the defined scope of the role and redirecting as appropriate.
  • Providing detailed information on program and/or course eligibility requirements, procedures,policies and deadlines.
  • Processing registrations.
  • Analyzing administrative processes and procedures and recommending changes for improvement.
  • Liaising with contacts to ensure consistent administration procedures are followed.
  • Generating reports.
  • Resolving issues within the scope of the role and escalating problems as required.

Essential Qualifications:


  • Bachelor's Degree in Business or acceptable combination of equivalent experience
  • Minimum three years of recent and related experience with career development programming, course coordinator or office administration. Including experience providing support in preparing program material and maintaining program/student information, preferably in a career development context
  • Experience working withlearning management systems, such as Quercus (Canvas), CSM (Symplicity) or Orbis
  • Experience maintaining student record databases, e.g. Orbis, CSM (Symplicity), and ROSI
  • Experience working in a highvolume, fastpaced work environment with tight deadlines
  • Demonstrated knowledge and understanding of best practices in career development and/or workintegrated learning theory
  • Superior organizational and time management skills with the ability to effectively balance time sensitive independent and teambased projects
  • Ability to quickly pivot to changing priorities
  • Strong problemsolving skills with the ability to independently troubleshoot issues within the parameters of policies, standard operating procedures and past practices
  • Strong written and verbal communications skills
  • Customerservice focused and dedicated to meeting the expectations and requirements of internal and external stakeholders
  • Strong proficiency with Microsoft OfficeSuites, with advanced proficiency in Excel
  • Selfmotivated learner with demonstrated commitment to professional growth and development
  • Demonstrated commitment to equity, diversity, inclusion and the promotion of a respectful and collegiallearning and working environment

  • Knowledge of labour market trends, workplace standards and rights, and recruiting practices
  • Experience developing and delivering synchronous and/or asynchronous online and inperson career development programming
