Friends of Ruby (FoR) is dedicated to the journey and well-being of 2SLGBTQIA+ youth, aged 16-29 through mental health services, social services, and housing. FoR offers Youth Mental Health services, a Youth Drop-In Centre, and a Transitional Home. The Centre provides access to barrier-free counselling and therapeutic groups, case management and a drop-in space with hot meals, community, and comprehensive programming. The Home provides transitional and emergency housing, as well as mental health and life-skills to support youth moving towards independent living.

Position Summary
We are looking for a talented Service Coordinator support the team at the House and Drop-in.

Service Coordinator supports the Friends of Ruby's Transitional Home with respect to planning, organizing, and performing a variety of administrative and operations support and special projects.

Service Coordinator plays a vital part in the day-to-day logistics of the house.


Tasks and Responsibilities

  • Daily Duties_
  • Be the first point of contact to greet the youth, staff, and visitors to the building (ensure everyone follows entry protocols, including signing in, temperature checks and COVID19 screening)
  • Assist finance department with purchasing, procurement of materials and rent collection
  • Maintain positive relationships with service providers and external vendors
  • Assist management with reporting, filing, scheduling and other administrative tasks
  • Create and maintain a directory of service providers and resources
  • Manage incoming phone calls to the Friends of Ruby telephone line, including transferring calls to correct staff members, reviewing voice mail messages and providing followup if necessary
  • Assist Residential Housing Workers editing, formatting, and saving shift change notes and other documents as required.
  • Notify residents of operational updates happening in the house as well as general information such as monthly housing meetings, covid vaccine clinic, fire drill, etc.
  • Assist the Housing team with creative projects such as welcome signs for new youth, creating goody bags for special occasions (e.g., Halloween)
  • Coordinate with staff to create and update the program calendar
  • Monitor security cameras periodically throughout the day
  • Converse with youth and assist them if needed and/or contact specific staff accordingly
  • Deal with majority of communications to the FoR Staff at the House and the FoR home youth
  • Update the TVs with relevant information pertaining to the House and its events
  • Organize, clean, and label the front desk area, basement storage room and all donated inventory
  • Oversee the arrangement and the booking of the multipurpose room
  • Assist the Housing Director/Manager with administrative work such as scheduling, youth booklets, scanning documents, uploading data on SharePoint, ensuring RHWs are filing materials appropriately, and organizing spaces, etc.
  • Assist in operations and kitchen duties if needed
  • Ensure all vacant suites are prepped and ready for movein
  • Monthly Duties_
  • Create shift change logs for the following month (youth moving out/moving in) and update accordingly
  • Update the schedule as required and find coverage for the shifts when needed
  • Arrange and create monthly folders for interaction reports and incident reports
  • Occasional Duties_
  • Help kitchen vendors such as Second Harvest etc.
  • Fill in for Operations Supervisor when they are offsite and accompany vendors and service providers when they are on site
  • Perform room checks with Residential Housing Workers
  • Assist youth workers at the dropin with programing and other activities
  • Help RHWs fill out their youth tracking sheet with who they have meet/seen throughout the day
  • Aid Housing and Dropin staff in clerical/administrative work such as constructing youth booklets, scanning documents, and uploading them to SharePoint as well as creating months calendars for programming at the
