_The following is a long-term contract opportunity for approximately one year working _

_17.5 hours/week _

_(0.5 FTE)._
As the

Administrative Clerk, Operations, you will provide general office support within the Operations department for duties related to the mail room, records administration, accounting and kitchens.


KEY RESPONSIBILITIES

General office support:

  • Pickup and sort incoming mail, couriers and faxes.
  • Upload documents into a document management system using manual scanning or electronic processes.
  • Monitor scanning program daily for potential batch errors Greet visitors and track visitor access cards.

Accounting support:

  • Provide assistance with data entry for vendor invoices and routing invoices to appropriate departments.
  • Support the collection efforts/calls for the accounts receivable portfolio.
  • Record payments received.
  • Perform account/payment reconciliations.

Back up for the Office Services Clerk:

  • Provide kitchen support.
  • Process outgoing mail and couriers.
  • Arrange office and furniture maintenance.
  • Provide administration orientation for new employees and setup/cleanup of desks for employee changes.
  • Arrange confidential shredding.
  • Maintain the visitor management system.

Other duties:

  • Monitor and order office supplies on a weekly basis or when required.
  • Maintain petty cash.
  • Maintain the Reward and Recognition program database.
  • Setup/cleanup Council Chambers for Council meetings.
  • Coordinate requests for afterhours office meetings.
  • Train CPSA team members on the visitor management system.
  • Assist with projects in the department.

QUALIFICATIONS

Education:


  • Formalized specialized skills typically obtained through a oneyear postsecondary certificate (e.g. administrative program) or equivalent.

Experience:


  • Requirement for 1 to 3 years of related experience.

Skills:


  • Intermediate to advanced MS Word and Excel.
  • Advanced communication skills.
  • Organizational skills and ability to prioritize.
  • Strong ability to multitask.

SALARY
The salary for this contract position is $23,979 annually and includes a benefit package.
