    ACADEMIC PROGRAM ASSISTANT (BAND LEVEL 4)

    Division of BioMedical Sciences (Graduate Programs)

    (Contractual Position to March 11, 2025)

    DUTIES

    The successful applicant will provide administrative support to the Graduate Coordinators and Programs in the Division of BioMedical Sciences (Bioscience of Health and Disease, Cardiovascular & Renal Sciences; Human Genetics and Genomics, Immunology & Infectious Diseases and Neurosciences). Duties include liaising with the BioMedical Sciences (BMS) Graduate Coordinators; coordinating the admissions process for BMS graduate programs; liaising between students, the Graduate Coordinator and the Office of Research and Graduate Studies; serving as the primary point of contact for graduate students; coordinating inquiries regarding graduate programs; providing assistance to students; implementing, maintaining, tracking and updating a database of students registered in BMS graduate programs and information related to their individuals programs; distributing notices to faculty and graduate students; assisting in the planning and organization of courses; typing course outlines, course materials, letters, forms, reports and other documents from rough draft and or dictating equipment; ensuring program guidelines, deadlines and schedules are followed; formatting materials and reports for presentations; proactively ensuring a high level of support is provided; replying in–person, by telephone or written correspondence to enquiries; organizing meetings and room bookings; preparing payroll for graduate assistantships; organizing the Graduate Research Symposia in consultation with the Graduate Program Coordinators; implementing and maintaining a communication strategy to update graduate students on various deadlines for scholarships, grant deadlines, and travel awards; coordinating activities associated with journal clubs; maintaining a list of graduate award recipients; and performing other related duties as required.

    QUALIFICATIONS

    Experience (1-3 years) in academic program activities in a university environment; supplemented by a diploma in office or business administration; or any combination of experience and training. An excellent working knowledge of Microsoft Office Suite, along with strong organizational, written, and oral communication skills are required. Knowledge of Student Banner, graduate programs, and the Division of BioMedical Sciences and its objectives would be considered assets.

    SALARY $49,308 - $57,841 per annum (CUPE Local 1615)
