The Faculty Services Team provides proficient and accurate coordination and administrative assistance to faculty members at the Ivey Business School.

The team's mission is to provide professional, efficient and effective support to faculty members.


Responsibilities:


The Program Assistant (Learning Management System & Faculty Support Specialist) is responsible for supporting the effective and efficient effective functioning of the Faculty Services department.

The Program Assistant will be an expert in all of Ivey's Learning Management Systems (LMS) and will be a point person and resource for peers in the department and faculty members.

The role will coordinate the development of group taught course content in collaboration with Ivey's EdTech team and will act as a lead for training on Ivey's LMS platforms across the team, while identifying gaps in training and find efficiencies and implementing changes to process on the team as necessary.


The role will also partner with a complement of 7-8 faculty members to support Ivey's mission to develop leaders who think globally, act strategically, and address critical issues facing organizations and society, through impactful research and transformative learning experiences.

The Program Assistant will work in collaboration with faculty to support their work in delivering high-quality educational experiences across all of our programs, with a particular focus on providing robust, wide-ranging and expert-level support for online course material.


The role will:

set up and manage online course content, including session content, assignments, quizzes, discussion forums, etc.; record and distribute grades and feedback to students and submits final grades to the program offices; order course material and supplies; prepare, review and edit teaching, case, and research materials; coordinate guest visitors and faculty travel; and complete complex expense reimbursements.


This position is responsible for engaging with all stakeholders - the faculty, students (ranging from undergraduate students to executive program participants) and staff at Ivey and across the University, faculty guests and external vendors - and supporting across all programs.


Qualifications:


  • Education:
  • 3 year community college diploma in a related field
  • University degree preferred

Experience:

  • 4 years' experience providing administrative administrative support and customer service in an office environment; preferably in an academic environment
  • Experience coordinating logistics of specialized programs and events; preferably in an academic environment
  • Previous administrative experience supporting faculty members with their online course content preferred

  • Intermediate computer skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with online learning management systems (LMS) such as Canvas or OWL is preferred
  • Demonstrated ability to quickly learn and adapt to new technologies
