The HR Administrator will be responsible for providing support in HR operational activities for the national HR team, such as, program administration, HR process development, policy governance, HR communications, and other transactional activities supporting the business.


Payroll

  • Responsible for submitting salary change forms to salary payroll on a semimonthly basis and hourly change forms on a weekly basis
  • In charge of investigating and answering employee questions associated with their pay, acting as a liaison between the employee and salary payroll department & hourly payroll department
  • Collect and file all associated paperwork
  • Ensure proper back up and signatures are on all paperwork

Benefits

  • Responsible to ensure that employees are enrolled in the benefits program
  • Act as employee liaison to the pension & benefits department
  • Responsible to submit any associated documentation needed to the pension & benefits department
  • In charge of investigating and answering employee questions associated with benefits
  • Process all health and wellness benefits

Employee Orientation

  • Schedule and coordinate orientations for new hires for all salary and hourly, nonunion employees
  • Send out all post communications to new hires regarding their onboarding information

Employee Relations

  • Responsible for answering or directing employee inquiries
  • Draft employee verification and reference letters on an as needed basis

Above & Beyond/Aecon Accolades

  • Respond and troubleshoot any system issues
  • Answer any vendor and employee inquiries regarding the program
  • Complete monthly reporting for both internal and external stakeholders of the program

Employee Experience Programs

  • Provide administration and coordination support with Aecon's reward and recognition programs such as Aecon Achievement Awards and John M. Beck Scholarship
  • Support the HR Specialist with the coordination and facilitation of reoccurring and newly developed employee experience programs such as Take Our Kids to Work Day
  • Help to coordinate the service award event, certificates and gifts for those receiving service awards

Invoices

  • Code all HR invoices, program related invoices, vendor invoices and other miscellaneous invoices
  • Liaison between vendor and A/P department for all payment inquiries

Human Resources Information System (HRIS)

  • Submit and verity all employee records in the HRIS database (SAP and SuccessFactors), including but not limited to:
  • New hires
  • Terminations
  • Personal changes
  • Benefits
  • Manager, Alternative Manager, Organizational Changes
  • Vacation tracking
  • Generate new and ad hoc HRIS reports as needed by the HR department
  • Educate the Human Resources team on any process changes and 'how to's'
  • Participate in any testing with system updates with the corporate systems team

Other Duties & Responsibilities

  • Maintain HR forms to ensure availability for HR and employee use
  • Maintain and update highly confidential information on a daily basis
  • File administrative documents in employee files
  • Participate in special projects and performs additional duties as required
  • In charge of returning unsolicited calls to the HR department
  • Performs a variety of clerical and administrative duties in support of Human Resources
  • Create presentations when necessary / as requested

Required Knowledge and Experience

  • Postsecondary school education, preference given to those with an HR focus
  • 12 years' experience working in a Human Resources department is an asset
  • Highly organized with strong time management skills
  • Effective problemsolving skills
  • Ability to adapt to a fastpaced work environment
  • Working knowledge of Microsoft Office Products (Word, Excel, PowerPoint, Outlook)
  • SAP and/or SuccessFactors experience is an asset
