Job Description:


This position will be accountable for the coordination and administration of day-to-day functions within the Eastern Region leasing department in addition to having a large role in the development and management of marketing efforts.

This role takes on a diverse set of tasks which support the team's common goal:

lease office space The coordinator will report to the Senior Vice President, Office Leasing, and work closely with the entire leasing team.


RESPONSIBILITIES:
Coordination & Administration

  • Prepare and maintain product availability directories, floor plans, drawings, and stacking plans
  • Manage and address incoming requests for space availability surveys
  • Maintain deal happenings within deal tracking software for weekly team meetings
  • Enter deals into deal tracking software along with accompanying Business Terms Summary Sheets
  • Coordinate monthly leasing meetings
  • Plan, coordinate, and execute external leasing events
  • Manage intake and processing of leasing commission payments
  • Manage and submit team expense reports
  • Execute special onetime projects to support future file organization (e.g. photo management, document tracking)
  • Other administrative duties as required
Marketing

  • Assist with the organization, design, production, and dissemination of all marketing materials for leasing efforts
  • Work with National Operations team to update building specific marketing/information materials
  • Manage external advertising platforms
  • Lead the preparation, coordination, and assembly of additional visual materials required for events

QUALIFICATIONS

SERVICE / PERSONAL SKILLS:

  • High level of initiative and the ability to multitask
  • Ability to work both independently and as a part of a team
  • Strong attention to detail
  • Creative and design focused
  • Service oriented with excellent communication skills, both verbal and written
  • Must work well in a sometimes high pressure work environment, ensuring deadlines are met
  • Exceptional organizational skills

EXPERIENCE & TECHINCAL SKILLS:

  • Industry (brokerage/leasing) experience is preferred
  • Marketing/design experience an asset
  • Advanced level Microsoft Office skills
  • Advanced Adobe Creative Suite skills (InDesign and Illustrator specifically)
  • Experience with Braze Customer Engagement Platform, or a similar product, an asset

EDUCATION/DESIGNATIONS/LICENSES:

  • Completion of Post Secondary education
