    About the role

    We are currently looking for an Executive Assistant- secondment 18 months- for our Finance department, who will play a critical role in supporting our growth.

    What you'll do here:

    • Support a Senior Associate Vice President and a Vice President in various administrative tasks: managing emails, agenda and meetings, travel and business travel, expense accounts, etc.
    • Offer support to their teams as needed.
    • Plan, coordinate, and organize meetings: invitations, address and resolve scheduling conflicts, room reservations, catering, equipment, agenda, documentation needed, follow-ups of items to be done, and other needs.
    • Track budgets, bill payments, purchase orders, equipment orders, and access requests.
    • Effectively prepare documents and materials required for meetings. Ensure the quality and accuracy of information and/or translation of documents. Thoroughly review and format PowerPoint presentations and other documents.
    • Ensure the quality and accuracy of documents to be transmitted externally or to members of senior management.
    • Onboarding new employees, closing files of departing employees; handling information and files confidentially. Ensure that the organizational charter of the teams is kept up to date.
    • Support budget management: rigorous review and update process.
    • Perform other administrative tasks.
    • Collaborate as part of an administrative team.
    What you bring to the table:
    • College diploma in administration or secretarial studies or equivalent combination of education and experience.
    • Minimum 3 years' experience in a similar role.
    • Good knowledge of the Office suite (including excellent knowledge of Word and PowerPoint) and of e-mail and diary management.
    • Strong organizational and time management skills.
    • Ability to multi-task.
    • Experience in finance (a definite asset).
    • Ability to develop and maintain strong relationships with external and internal customers and present a professional and positive image.
    • Strong resourcefulness, ability to work independently and sound judgment.
    • Excellent team spirit and collaboration.
    • Availability and adaptability.
    • Discretion and confidentiality.
    • Excellent oral and written communication skills in French and English. Need to interact on a regular basis with an English-speaking clientele and colleagues across the country.
    • Excellent translation skills (English to French and French to English).
    • No Canadian work experience required however must be eligible to work in Canada.
