Role Description
- (Facilitate referrals received for the Seniors' at Risk Program and keep data related to intake and utilization. This includes interactions with referral sources and clients.

  • Maintain electronic files in a neat, organized and up to date manner. This includes the logging of new referrals, tracking of referral process and creating data reports.
  • Monitor office supplies and office equipment and place supply orders, equipment service requests, and assist staff with IT ticket submission requests
  • Provide telephone reception and coordinate with other staff and keep the Employee Phone List and referral source contact list uptodate.
  • Liaise with visitors, staff, and other agencies as needed in a professional and organized manner and ensure packages from couriers are received and distributed in a timely manner
  • Prepare correspondence as directed, take minutes at meetings
  • Receive and distribute mail in an organized and efficient manner, as well as provide gift cards, tokens to staff, and maintain transit accounts for all staff.
  • Assist the Coordinator and Director with administrative processes, as needed such as payroll duties in ADP, tracking CPR and other training as needed
  • Administer petty cash as required and submit monthly expense reconciliation and assist staff and Director with expenses as needed

Qualifications

  • Excellent verbal and written communication, computer
    , interpersonal, and organizational skills
  • Strong computer skills; experience with Excel, Outlook, Zoom, TEAMs
  • Able to manage an office; able to maintain accurate files
  • Detailoriented; wellorganized
  • Able to manage petty cash; collect rent; prepare bank deposits
  • Experience with mental health or working with a social service agency an asset
  • Appropriate education, training and experience in administration including college diploma or equivalent in a related field
  • Verbal and written skills in another
