Position Description:

We are looking for an Administrative Co-ordinator to join the Centre for Innovation & Excellence in Child and Family Centred Care.

In this role, you will provide day-to-day administrative support, to the Director as well as all departments in this portfolio including Interpreter Services, Office of Patient and Family Experience, The Family Centre, Spiritual and Religious Care, Family Spaces, Patient and Family Engagement.

This role is an integral member of the portfolio and will be responsible for:

all administrative responsibilities, coordinating and managing financial and accounting related duties, organizing and planning meetings/events, taking minutes, managing and answering inquiries.

The Administrative Co-ordinator will act as a central resource for the portfolio and support various projects and initiatives in the portfolio.


Here's What You'll Get to Do:

  • Schedule and coordinate meetings and maintain and organize schedules and calendars
  • Prepare meeting agendas and presentations and take meeting minutes
  • Prepare and manage payroll for all departments under the portfolio
  • Maintains and updates emergency fanout lists and the fire evacuation & emergency preparedness plan for all departments
  • Processes purchase orders and invoices
  • Prepares P-Card expense
  • Review financial reports on a monthly basis and monitor expenses to ensure they are aligned to budget. Liases regularly with finance partners.
  • Coordinate onboarding and orientation of all staff and volunteers including staff and volunteers of community partners that work from SickKids
  • Maintain record keeping for staff and volunteers under the portfolio
  • Arrange travel for conferences and external meeting
  • Assist in the planning and organizing of large events and conferences
  • Prepare original documents, including letters, reports, spreadsheets, presentations and educational materials
  • Develop, update and review content for the internal and external SickKids websites
  • Maintain a shared filing system on Share Point
  • Support various team members leading projects and initiatives for the portfolio
  • Some data entry for quality improvement and research projects
  • Other administrative duties

Here's What You'll Need:


  • Postsecondary degree/diploma in business or office administration or other related field or a combination of experience and education
  • Several years of senior administrative experience, preferably supporting a senior Leader
  • Experience using Adobe Professional
  • Experience with updating websites and database development
  • Exceptional interpersonal, oral and written communication skills
  • Proven ability to prioritize work in an efficient and organized manner
  • Highly developed analytical, evaluative and problemsolving skills
  • Demonstrated high level of judgment, tact and diplomacy in interacting with a wide variety of internal and external partners
  • Ability to work well independently, as well as, in a team environment
  • Ability to work in a fast paced, work environment with many interruptions and multiple priorities
