    Position SummaryDuties & Responsibilities*
  • Processes program and course based registrations for international students in a wide range of programs. This includes evaluating worldwide transcripts and documents for course prerequisites, determining eligibility for course registration, assessing and authorizing articulated and routine transfer credits required for course prerequisites and registration, processing registrations using applicable course/block registration procedures, resolving student course scheduling conflicts, explaining fee structures, sending course schedules and prearrival information to international students.
  • Processes drops and withdrawals from courses and programs using appropriate drop and withdrawal procedures, liaises internally with the Student Records and Student Accounts departments regarding international student records and financial issues, makes adjustments to international student records based on drop/withdrawal dates, communicates drop/withdrawal information to international students/agents and explains refund structures.
  • Liaises internally with the Finance department and Student Accounts office to coordinate and track tuition deposits and payments made by international applicants and current international students, initiates refunds based on international student refund policy and supporting immigration documentation, initiates the process for International Student Refund Appeal requests.
  • Monitors international student seat availability and program waitlists, works closely with various department areas and domestic student Admission Officers to monitor enrollment numbers and program filling information for upcoming programs and classes, fills vacant seats sometimes within tight timeframes, contacts international students from waitlists.
  • Develops and maintains a complete knowledge of those portions of the College's computer based student registration system (Banner) which support the admission and registration process. Uses the Banner student information system to ensure electronic files for international students are kept up to date, utilizes electronic Document Management tools to organize and evaluate documents and routes documents to the appropriate areas for processing.
  • Modifies, prepares and sends international student transcripts and correspondence including offer letters, acceptance letters, enrolment letters, scholarship letters, tuition and refund fee information, prearrival correspondence and other letters for immigration purposes in compliance with Canadian immigration requirements and departmental expectations. Confirms student enrolment/breaks for Canadian immigration purposes.
  • Reviews student information system (Banner) functionality, admissions and registration procedures, international student enrollment systems and builds business improvement proposals and recommends improvements and developments. Identifies and establishes enrolment management system documents in need of revision and works with the Associate Registrar, International Education to make the revisions. Uses professional judgment and interpretation of enrolment data to prioritize work and makes recommendations for process improvements in alignment with institutional strategic enrolment goals and objectives.
  • Prepares documents and correspondence using MS Word, Outlook and other electronic communication tools. Prepares a variety of statistical reports using Excel related to international student enrolment management and provides reports as requested related to international student admissions and registration data.
  • Performs other related duties as required.

Qualifications

Education and Experience

  • Completion of a related 2year postsecondary diploma and three years' directly related experience at a postsecondary institution, including a minimum of one year related experience working in an international setting; or an equivalent combination of training and/or experience may be substituted for the required qualifications.
