Job Summary
What is the opportunity?
As an Executive Assistant, you will directly support the VP Talent Solutions and the VP Learning and Performance.
You will play a critical role to ensure the most effective use of their time, and the efficient function of their two teams.
You will be accountable for managing schedules, departmental events and executive correspondence.In addition, you will:
liaise with RBC leadership and business partners on their behalf; follow-up on action items; maintain calendars; coordinate travel arrangements; prepare correspondence and other presentation materials; support premises management and logistics; and, prepare / act as a pre-verification officer for department expense reports.
Please note this is a 12 month contract position.What you will do?
- Provide executive administrative assistance for both executives maintaining a high degree of confidentiality and accuracy within a fastpaced, deadline driven environment.
- Assist as the primary liaison for the executives, with senior internal and external stakeholders.
- Coordinate and maintain the calendar, including reporting, responding, and prioritizing as appropriate.
- Organize video and inperson meetings, set up and coordinate business planning sessions, staff meetings, management meetings, and oneonones with direct reports.
- Coordinate end to end event planning for both teams, including quarterly townhalls, weekly senior leadership team meetings, and full day offsites. Work with internal conference centers and preferred caterers; develop agendas, materials, and routines; coordinate with internal and external guest speakers.
- Manage the executives' records and business expenses, and ensure invoices and bills are promptly paid; prepare and approve expenses according to delegated authorities.
- Coordinate arrangements for employee changes and onboarding plans for new hires, including equipment and premises requirements, timely translation of and distribution of announcements, and ensuring adherence to policies and procedures.
- Proactively manage travel arrangements/itinerary; ensuring seamless travel and efficient use of budgeting and resources.
- Provide thought leadership to adapt the way we work in support of the overall goals of the department and encourage and proactively identify and execute efficiencies.
- Assist the department in meeting its financial objectives, and monitoring and analyzing variances (where required)
- Provide inperson support for the Teams related to floor office plans, locker assignments, etc.
What do you need to succeed?
Must-have
- 3+ years of Executive or Administrative support experience supporting senior leadership
- Superior organizational skills, including the ability to rapidly adjust priorities, specifically around calendar management, scheduling, organizing and planning departmental activities
- Strong interpersonal relationship skills in working effectively with various levels of staff, including senior management and executives; ability to work as a team member
- Sound judgement in decision making; strong problemsolving skills and resourceful in working with others and representing the offices of the executives
- Anticipate the needs of the executives and flag questions or opportunities before issues arise
- Demonstrate initiative, positive and helpful attitude when dealing with others in a professional manner
- High proficiency in MS Office (Word, PowerPoint, Excel, Outlook); Intranet and Internet navigating and research skills
- Selfstarter, must work independently with mínimal supervision
Nice-to-have
- Human Resources and/or Learning & Development experience
- Large event planning and execution experience
- Proficient in French (verbal and/or written)
- Related experience within a matrixed corporate environment
